Work
Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.
What you'll do at work
Onboarding Support and Contractor Care:
- First Point of Contact: Be a friendly, helpful face for our contractors, answering their day-to-day questions quickly over the phone and by email
- Getting Contractors Ready: Learn the different setup steps for candidates depending on how they get paid and what the client needs including registration forms, Right to Work (RTW) checks using YOTI, and portal setups
- Using Bullhorn: Learn how to route candidates through the right setup pathways in our database system (Bullhorn)
- Tracking Progress: Keep an eye on setup deadlines so contractors get paid on time. Use system reports and automated updates (Herefish) to see where candidates are in the process
- Friendly Chasing: Reach out to contractors or teammates to collect any missing paperwork, and keep candidates updated if anything is taking a bit longer
Checking Documents, Rules and Keeping Data Clean:
- Checking Paperwork: Double-check submitted forms to make sure everything is filled out correctly before placement start dates
- Organised Filing: Use the right file names and save documents safely in the right spots (Bullhorn and shared folders)
- Following Data Rules: Keep candidate information private and secure, following GDPR and document retention rules
- Asking for Help: Pass any tricky document issues or compliance questions along to the Contractor Care Manager
Helping Leavers and Extending Contracts:
- Wrapping Up Roles: Keep track of when contractor placements are ending and update their status in Bullhorn promptly
- Payroll Updates: Let the Payroll team know when someone finishes a role so payments stop at the right time
- Contract Extensions: Update Bullhorn when contracts get extended, send out official extension letters and emails, and update team spreadsheets
Finding Candidates and Sourcing Support:
- Finding Great People: Help attract candidates by checking daily job board alerts (like CV-Library Watchdogs) and using search techniques to find active job seekers
- Building Pipelines: Help sort and group candidate profiles in Bullhorn before handing them over to our recruitment consultants
- Reaching Out: Help run automated message campaigns and keep an eye on candidate responses
Industry News and Improving How We Work:
- Spotting Opportunities: Keep an eye on regional news and Google Alerts for new business projects, research key company decision-makers, and add leads to Bullhorn
- Sharing Ideas: As you get comfortable in your role, share any ideas you have on how we can make our everyday office tasks smoother!
Everyday Office Support (When You Have Extra Time):
- General Admin: Help file registration forms and completed onboarding packets
- Team Support: Pitch in with central email inboxes, timesheet questions, answering phone calls, keeping shared drives tidy, and helping out the wider compliance and payroll teams

What you'll learn
Course contents
- Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
- Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
- Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
- Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
- Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
- Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
- Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
- Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.
Training schedule
Business Administrator Level 3.
Training will take place at your normal place of work.
You will have a monthly coaching session over Microsoft Teams with your tutor who will take you through the course a module at a time.

- Core Business Admin: Filing, document formatting, basic finance administration (timesheets/invoices), time management, and professional communication skills
