The Administration Apprentices will provide flexible support across the business, including general administration, data and systems management, communications, compliance, reporting and coordination. They will support key teams and projects while developing their skills, knowledge and responsibilities through their apprenticeship.

Upon completion of apprenticeship, subject to a performance review, a salary increase may be provided - working hours do not include a paid break, however a 30 minute unpaid break is included in working hours

What you'll do at work
Management Summary - Administration Apprentice Roles:
Both Administration Apprentice roles will provide broad administrative and operational support across the business, with responsibilities developing over time as knowledge, skills and confidence increase.
Admin Apprentice 1 - Partnerships & Careers Administrator:
This role will primarily support Partnerships, Careers, Business Development and associated business functions. Key areas of responsibility will include:
- Providing general administrative support, including managing communications, enquiries, meetings and documentation
- Supporting the organisation and delivery of events, careers activities and stakeholder engagement
- Maintaining accurate records, databases, systems and shared documentation
- Supporting reporting, data management and the preparation of management information
- Assisting with client and employer administration, onboarding and communications
- Providing administrative support for recruitment and careers activities, including candidate and vacancy management
- Supporting marketing, communications and promotional activities
- Maintaining appropriate document control, compliance records and filing systems
- Contributing to team projects and wider business initiatives as required
Admin Apprentice 2 - People & Data Administrator:
This role will primarily support Operations, learner administration and People & Culture. Key areas of responsibility will include:
- Providing general administrative support across learner, employer and employee activities
- Maintaining accurate records, systems, databases and documentation
- Supporting data entry, reporting, tracking and general information management
- Assisting with compliance activities and ensuring documentation is complete, current and accessible
- Supporting learner administration throughout the learner journey
- Providing administrative support for assessment, completion and certification processes
- Supporting People & Culture activities across the employee lifecycle
- Assisting with recruitment, onboarding, employee changes and general HR administration
- Supporting policy, process and document management
- Assisting with team engagement, development and culture activities
- Contributing to audits, continuous improvement and wider operational projects
Overall:
Both apprentices will provide flexible administrative support across the organisation while completing their apprenticeship development. The roles will focus on building strong skills in administration, communication, systems, data management, compliance and customer service.
Responsibilities will gradually increase as each apprentice develops, with both roles expected to contribute to continuous improvement, cross-team working and the wider objectives of the business.

What you'll learn
Course contents
- Receive, retrieve, process, record and store information and data.
- Operate within organisational policies, standards and procedures and relevant legislation respecting confidentiality; adapting to operational changes as they occur.
- Use software packages and tools for example AI or automation to input and process data and information, to contribute to routine administration tasks in line with organisational policies and procedures.
- Handle and communicate information in line with organisational policies, procedures and security requirements.
- Recognise and rectify issues and escalate as required. For example stakeholder documents and reports, safeguarding concerns or abusive behaviour.
- Plan and review administration tasks allocated by supervisor.
- Maintain professional relationships with stakeholders.
- Monitor and report on the use of resources such as materials, equipment and supplies.
- Use agreed organisational systems and protocols to manage calendars, diaries and booking systems.
- Source information as requested by stakeholders, ensuring they are shareable. As examples client records, signpost to services or reports.
- Use continuing professional development including self-reflection to support current and future training and development needs.
- Use communication tools to respond to stakeholders using professional language and organisational etiquette.
- Operate within agreed health and safety standards.
- Use time management tools to meet deadlines.
- Handle feedback following expected professional etiquette.
- Maintain wellbeing, accessing organisational support mechanisms if required.
- Review and check own work.
- Use cloud services to share documents for use and or collaboration.
- Protect against security threats for example, strong passwords, two step verification, office tailgating and display of security passes or clothing that identifies secure workplaces.
- Seek clarification and help, when required, to complete assigned tasks within agreed timeframes.

Training schedule
Administration Assistant Level 2.
Training will take place at our office as well as out in the field with the team (ME44QZ, Quayside House, Chatham).
Apprenticeship training workshops take place once per month with your Skills Coach.

Most of the delivery is delivered virtually using our E-Learning platform BUD, Umbrella Training is the apprenticeship provider for this standard.
