Summary

We are seeking an Apprentice Service Desk Co-ordinator to help support our Customers & Engineers on a daily basis You will be working in a busy Service Desk Department to ensure we keep our customers equipment operation. The successful candidate will be able to react quickly to situations and multi-task with strong communication skills.

Wage

£16,640 for your first year, then could increase depending on your age

What you'll do at work

About the Role

This is a varied role dealing with Customers & Engineers on a daily basis, in a busy Service Desk Department. 

The key responsibilities for this role include;

Logging Call Outs from Customers

  • Ensuring that we have the correct paperwork from Customer
  • Checking our system to clarify works status as new job / ongoing works

Dealing with Customer queries & updating Customers on Job Status

  • Preparing Weekly Update Spreadsheet for Larger Customer
  • E-mailing / Calling Customers to update on Parts ETA / Job Completion

Downloading information for completed jobs from engineers

  • Moving Job forward to next relevant step in Job completion process
  • E-mailing Engineers Job Sheets to Facility Management Customers

Checking engineers paperwork & preparing for invoicing

  • Checking Job Sheets & Expense Claims against Engineers Weekly Timesheets to ensure all Paperwork received & completed
  • Preparing completed jobs for invoicing

Managing Large Jobs & Projects

  • Ensuring that all Equipment / Parts required are ready for start of projects
  • Liaising with Customers to ensure that site access / assistance is arranged
  • Liaising with any Subcontractors

What you'll learn

Course contents
  • Receive, retrieve, process, record and store information and data.
  • Operate within organisational policies, standards and procedures and relevant legislation respecting confidentiality; adapting to operational changes as they occur.
  • Use software packages and tools for example AI or automation to input and process data and information, to contribute to routine administration tasks in line with organisational policies and procedures.
  • Handle and communicate information in line with organisational policies, procedures and security requirements.
  • Recognise and rectify issues and escalate as required. For example stakeholder documents and reports, safeguarding concerns or abusive behaviour.
  • Plan and review administration tasks allocated by supervisor.
  • Maintain professional relationships with stakeholders.
  • Monitor and report on the use of resources such as materials, equipment and supplies.
  • Use agreed organisational systems and protocols to manage calendars, diaries and booking systems.
  • Source information as requested by stakeholders, ensuring they are shareable. As examples client records, signpost to services or reports.
  • Use continuing professional development including self-reflection to support current and future training and development needs.
  • Use communication tools to respond to stakeholders using professional language and organisational etiquette.
  • Operate within agreed health and safety standards.
  • Use time management tools to meet deadlines.
  • Handle feedback following expected professional etiquette.
  • Maintain wellbeing, accessing organisational support mechanisms if required.
  • Review and check own work.
  • Use cloud services to share documents for use and or collaboration.
  • Protect against security threats for example, strong passwords, two step verification, office tailgating and display of security passes or clothing that identifies secure workplaces.
  • Seek clarification and help, when required, to complete assigned tasks within agreed timeframes.

Training schedule

Apprentices will be required to attend training at least once a week either via remote opnline class or at our Harrow or Hayes Campuses completing necessary mandatory training and units associated with the apprenticeship.

Our Account Manager, industry-trained assessor and Learning Advocate support apprentices to deliver our high-quality training programmes.

The apprentice will be required to complete:

  • QCF Framework
  • Employment Rights and Responsibilities
  • Skills, Knowledge and Behaviours
  • Standard and End Point Assessment
  • Functional Skills in English, Maths and ICT (if required)

Other training will be provided by the employer as required to enable the fulfilment of the job role.

Desirable qualifications

GCSE in:

Maths and English (grade 3-9)

Share if you have other relevant qualifications and industry experience. The apprenticeship can be adjusted to reflect what you already know.
