Work

What you'll do at work

Main responsibilities will include:

  • Provide administrative support to the Group EA & Office Manager, with routine daily tasks and business administration
  • Assist with calendar management, including scheduling meetings, resolving diary clashes, preparing meeting information and helping ensure follow-up actions are tracked
  • Support email-related administration by helping prepare draft communications, organising follow-up actions and maintaining trackers
  • Book travel arrangements including flights, trains, taxis, accommodation and related itineraries
  • Arrange meeting rooms, refreshments, visitor access and required materials for internal and external meetings
  • Support the preparation of agendas, meeting notes, action trackers and follow-up reminders
  • Help prepare documents, reports, presentations and slide decks using Microsoft Office
  • Maintain accurate records, files, trackers and administrative documents, ensuring information is handled confidentially and appropriately
  • Assist with office management administration across Milton Keynes, London and the future Midlands office
  • Order office supplies, stationery, refreshments and other items required for the smooth running of the offices
  • Support basic facilities coordination, including reporting maintenance issues, liaising with suppliers and helping track office requirements
  • Assist with health and safety administration, including maintaining records, supporting office checks and escalating issues where required
  • Support venue sourcing, logistics, invitations, materials, travel and on-the-day coordination for company meetings and events
  • Liaise professionally with internal colleagues, external visitors, suppliers, venues and service providers
  • Help improve administrative processes by identifying more efficient ways of organising routine tasks, records and communications

What you'll learn

Course contents
  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Training schedule

Training with Milton Keynes College. Ongoing training, support and development with the employer. Business Administrator Level 3.

GCSE in:

Other requirements

The Executive Assistant Apprentice will provide day-to-day administrative, support and office coordination assistance to the Group EA & Office Manager. This is a new apprenticeship role created to support the increasing volume of routine operational and administrative tasks across the business, enabling the Group EA & Office Manager to focus on more strategic priorities and objectives.

The role will support the smooth running of day-to-day administration, including calendar coordination, travel and accommodation bookings, meeting arrangements, office administration, event logistics and general business support. The apprentice will develop a broad range of transferable business administration skills while supporting the Group EA & Office Manager, who will continue to provide direct support to the Executive Team and directors.

As Executive Assistant Apprentice, you will be responsible for supporting the day-to-day administration that helps the Group EA & Office Manager, offices and wider business operate efficiently, professionally and consistently. As part of their Apprenticeship, the successful candidate will complete off the job training - dedicated learning that takes place during paid working hours and focuses on developing the skills and knowledge needed for the role. This includes structured activities such as workshops, online learning, shadowing, and practical training, ensuring they gain the full competence required to excel in the position while contributing effectively to the organisation.
