Summary

This role will give you the opportunity to experience all aspects of the apprenticeship onboarding and administration process. It is ideal for someone who is looking to pursue a career in the world of business administration or customer service and could be a stepping stone to higher level apprenticeships upon completion.

£16,000 a year

After the first year of the apprenticeship, the pay will increase in line with National Minimum Wage depending on age.

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

Main duties:

  • Communicate effectively with a range of customers at varying points in the service delivery cycle. This will include employers, college students, apprentices, parents, external agencies and internal departments
  • Always take responsibility for customer service and be active in delivering a level of service that meets or exceeds expectations
  • Effectively prioritise tasks to ensure deadlines are met and appropriately manage a varied workload
  • Maintain a range of central electronic resources for all colleagues that are up to date and accurate
  • Maintain up to date records and efficiently use a variety of administrative systems including manual filing systems, spreadsheets, databases, the college’s internal student tracking system, CRM and e-portfolio system
  • Maintain a range of central control records for the team, checking and validating data and information and identifying out of date, missing or incorrect information
  • Organise internal and external meetings as requested and take minutes for colleagues as required 
  • Provide administration support for colleagues as requested and agreed with your line manager. This will include providing support for employer visits, and on-programme administration support to ensure colleagues can work efficiently and that activities are compliant.  You will be answering emails and the telephone throughout each day, so being able to multi-task could be beneficial
  • Take an active role in agreed departmental projects as required

What you'll learn

Course contents
  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
  • Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

Training schedule

Business Administrator Level 3.

Whilst the majority of training will take place at work, there will be occasional attendance at workshops (Teams and in person) with the College.

You will have a day per week to complete your apprenticeship coursework and assignments, attend workshops and liaise with your Apprentice Learning Coach.  We will give you full training to ensure you are equipped for the work we ask you to do.

Essential qualifications

GCSE in:

Maths and English (grade 4 or above)

Share if you have other relevant qualifications and industry experience. The apprenticeship can be adjusted to reflect what you already know.

Other requirements

Ideally, you will have a good IT skills, particularly using Microsoft office - Excel, Word, Outlook.  You will have a desire to learn and work hard, working to deadlines for your assignments and tasks set by your Apprentice Learning Coach.

Customer Service experience would be advantageous.

You will be committed to completing the apprenticeship qualification to the best of your ability.

Occasional evening and Saturday hours (open events - 2 on a Saturday, 1 on a Thursday evening), time off in lieu given.
