Summary

This role is in addition to two staff currently in post. Together the team works to ensure the continued efficient operation of a centuries-old institution. This focuses on membership administration: members booking, attending events, member application process and communication through social media.

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

  • Booking administration-  register members of the Company to access Company website members’ pages; ensure website members’ pages have all information necessary for members to book events, e.g. timing, prices, full description, eligibility
  • Liaison with caterer (currently Life’s Kitchen, see: www.lifeskitchen.com) for events (e.g. numbers, dietary and mobility requirements, timetable, room layout) and venue availability, ensuring all Company requirements for use of Founders’ Hall are clearly booked in online calendar shared with caterer
  • Administer applications for Company membership- invite to at least two Company events, then arrange meeting at Founders’ Hall with two representatives from the Membership Committee
  • Administer mentor / new Freemen relationships- invite mentor to take role; connect mentor with Freeman; request 6 monthly progress report
  • Diary management for Master, Wardens & Clerk- ensure Master indicates response to invitations for timely communication to other Company or organisation issuing invitation; ensure that individuals know to be in the right place at the right time in the right attire
  • Meet and greet event attendees, checking against list of those booked
  • Social media administration- monitor social media channels and repost items of interest from Company website and other sources
  • Administer merchandise- promote sales of Company branded merchandise and despatch / arrange collection from Founders’ Hall

What you'll learn

Course contents
  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
  • Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

  • Ginger Nut’s delivery is based on a remote, blended model of one-to-one tutor sessions every 4 weeks, group sessions, webinars, online courses, video, and additional support where required
  • Apprentices are allocated a tutor to guide them through the training, conduct regular meetings and prepare for End Point Assessment
  • Our tutors are industry experts with relevant industry experience in addition to teaching and coaching expertise
  • To support learning, we utilise online resources mapped to the apprenticeship and all learners are given access to LinkedIn Learning, and other bespoke channels designed to support their apprenticeship

About this employer

The Company has a long and continuing history in the City of London. There are 175 members of the Livery. In addition, there are around 80 members of the Freedom. The management of WCF is the responsibility of the Court of Assistants, of which there are 16 voting members, but much of the work is done by Committees: • Audit, Risk & Governance • Finance, Property and Hall • Membership • Marketing & Communications • Industry The Court is chaired by the ‘Master’, who holds office for one year from end October and is supported by Upper and Under Wardens. All these roles are voluntary and unpaid. WCF has its own Livery Hall in Cloth Fair EC1. It uses the lower ground floor (its Livery Hall), ground floor (meeting and reception room) and part of the first floor (office, where this post is based). The rest of the building (floors one to four) is rented out as commercial offices or residential flats The daily running of WCF is managed by the Clerk’s Office, which comprises the Clerk (or Chief Executive), the Assistant Clerk and the Business Administrator (reporting to the Assistant Clerk). This new post is required due to expanding activity.
