Summary

To assist the Student Services Team Leader and Front of House Team to provide efficient and effective customer focussed administration services to the College. To assist with the organisation and administration of meetings and events. To undertake any other administrative duties.

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

  • To assist in the administration of all services to ensure all activities are fulfilled satisfactorily with attention to detail.  
  • Support the overall team in the purchasing, monitoring and distribution of materials and resources. 
  • To provide a welcoming, professional, friendly and courteous reception service to customers, visitors and members of staff and participate fully in promoting a professional and positive 
    image by acting as an ambassador of the College at all times.  
  • To provide printing/photocopying services as and when required and liaise with internal customers regarding their requirements as necessary. 
  • To assist the Student Services Team Leader to prepare appropriate plans, rotas and room bookings to support with meetings and other activities and liaise/communicate with relevant services/managers/staff from across the College.  
  • To adhere to the security procedures and general confidentiality required within this department.  
  • To travel and work within other sections in the department where requested to maintain the administration and governance function enabling cover to be provided when requested.  
  • To undertake any other administrative duties of a general nature appropriate to the level of responsibility of the post as required.

What you'll learn

Course contents
  • Use a range of questioning skills, including listening and responding in a way that builds rapport, determines customer needs and expectations and achieves positive engagement and delivery.
  • Depending on your job role and work environment: Use appropriate verbal and non-verbal communication skills, along with summarising language during face-to-face communications; and/or
  • Depending on your job role and work environment: Use appropriate communication skills, along with reinforcement techniques (to confirm understanding) during non-facing customer interactions.
  • Depending on your job role and work environment: Use an appropriate ‘tone of voice’ in all communications, including written and digital, that reflect the organisation’s brand.
  • Provide clear explanations and offer options in order to help customers make choices that are mutually beneficial to both the customer and your organisation.
  • Be able to organise yourself, prioritise your own workload/activity and work to meet deadlines.
  • Demonstrate patience and calmness.
  • Show you understand the customer’s point of view.
  • Use appropriate sign-posting or resolution to meet your customers needs and manage expectations.
  • Maintain informative communication during service recovery.

Training schedule

Apprenticeship in Customer Service Training will take place predominantly at Bede Campus, however there may be occasional travel to other sites – arrangements will be made with line manager and travel support given where required.

Requirements

Essential qualifications

GCSE or equivalent in:

  • English (grade 4-9)
  • Maths (grade 4-9)

Desirable qualifications

GCSE or equivalent in:

ICT (grade 4-9)
