Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.
What you'll do at work
As an apprentice administrator at Chichester College your days would include helping with the day to day running of the department by running admin tasks, such as timetables, class lists, tracking of student’s progression and collating resources to support the teaching and learning, and you will be supporting the department’s management team by support their diaries, attending meeting to take minutes and collating data into easy to read reports.
Key Responsibilities:
- To undertake a range of administrative duties to support the work of the English Maths and ESOL team.
- To provide administrative support to the Teaching and Learning Manager and Directorate Management team.
- To provide an efficient and effective administrative service for the English, Maths and ESOL team, dealing with enquiries from staff, students and exam boards.
- To provide effective support services to staff and students within the area, maintaining excellent customer service at all times.
- To update and maintain diaries and calendars, databases, records and reports.
- To liaise with staff and external organisations, as appropriate.
- To prepare documentation and correspondence to support the core business and administration of the area and ensure that information is sent out in a timely manner.
- To provide effective administrative support for the successful implementation of curriculum and cross College initiatives, including student records and supporting cross college meetings.
- To provide support when necessary to ensure that area and cross College events, such as Information Days, run smoothly.

What you'll learn
Course contents
- Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
- Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
- Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
- Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
- Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
- Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
- Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Other requirements
-This role is based at Chichester College. Learning will be work based although occasional classroom attendance may be required. -This is an apprenticeship and so you will be completing your studies alongside your work. -You will be expected to attend a monthly workshop and undertake the work around gathering your evidence to complete the tasks needed. -You will be supported and guided every step of the way. -The college has a refectory and gym for staff use. -Free online car parking on site for staff who have registered their vehicle. - This is a 19-month apprenticeship including end point assessment. -Applicants MUST BE resident in the UK for a minimum of 3 years prior to the start of learning and have work authorisation for the UK. -Applicants WILL NOT BE eligible to apply if they have already achieved a qualification which is equal to or higher thank the apprenticeship standard on offer. -Applicants MUST BE resident in the area local to the apprenticeship opportunity or be prepared to relocate in time to start employment and study. -Applicants MUST BE committed to the learning and stay to the end of the apprenticeship. -Successful applications will require satisfactorily meeting the College’s employment checks including an Independent Safeguarding Authority and/or Criminal Record Bureau Check, Health Assessment, References, qualifications and legal entitlement to work in the UK.
