We are looking for a curious, motivated and enthusiastic person to join our team as a Junior Operations Coordinator. A chance to learn about the world of Supply Chain & logistics gain hands on experience and build valuable skills supported by an experienced team.

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

The apprentice will be taught to manage and oversee shipments for assigned accounts. Charging, costing and arranging the movement of goods and consignments, flow of paperwork to ensure Customs clearances are processed quickly and deliveries are made in good time. Managing the full supply chain process for a shipment for specified accounts, from start to finish. 

Tasks & Responsibilities

  • To ensure compliance with the customs regulations of the UK/EU
  • To transpose customs declaration information from documents, and or other data sources, into the customs brokerage system accurately.
  • To manage and meet required internal and external KPIs
  • To understand and utilise all elements of Customs.
  • To correspond with Customs/other government agencies as required in a timely manner.
  • To keep up to date on all regulatory requirements governing imports.
  • To build and maintain strong relationships with customs authorities and other government agencies
  • To be responsible for arranging and completing all associated paperwork, which documents the nature of the goods being imported from abroad and that they are legal and legitimate.
  • Ensuring all is in order in relation to import quotas, tariffs, trade agreements and HM Revenue and Customs regulations.
  • Responsibility for costing jobs and ensuring maximum profitability for the organisation.
  • Establishing contacts and relationships with HM Customs to ensure efficient transfer of goods through the legal process.
  • Ability to manage deadlines and sometimes difficult situations, therefore an element of negotiation is required in order to be able to meet timescales.

  • Use standard operating procedures.
  • Support customers with supply chain enquiries.
  • Use IT systems for the supply chain; Company and customer systems. Applies cyber security and GDPR regulations and policies.
  • Use continuous improvement techniques in the fast-moving consumer goods supply chain.
  • Lead and participate in problem solving activities: 5 whys, fishbone analysis.
  • Use capacity planning to inform fast-moving consumer goods supply chain processes.
  • Apply team working principles.
  • Escalate issues and tasks.
  • Analyse data against supply chain key performance indicators to identify trends and themes that affect the fast-moving consumer goods supply chain.
  • Plan and adhere to customer lead times.
  • Use data analysis outcomes to inform decision making in the supply chain function.
  • Develop and implement a supply plan, for example, supply planning, production planning, demand planning, operations planning - logistics, commercial planning.
  • Use order management tools to capture customer orders.
  • Communicate with others verbally for example, colleagues and stakeholders.
  • Communicate in writing with others for example, internal and external customers, colleagues, and managers.
  • Comply with health and safety legislation, regulations, standards, and guidance.
  • Follow equity, diversity, and inclusion principles.
  • Apply quality assurance procedures.
  • Identify and document hazards and risks in the workplace. Apply control measures.
  • Record or enter information - paper based or electronic; risk assessments, handover documents, work sheets, checklists, and any legal reporting requirements.

  • Identify, organise and use resources, including team members, to plan and complete tasks, with consideration for cost and quality.

Training schedule

The apprentice will receive in house training from experienced colleagues to support with the job role. This vacancy is also attached to a Level 3 Supply Chain Leader apprenticeship programme delivered via live virtual workshops twice monthly. Ongoing skills coach support will also be provided.

Essential qualifications

GCSE in:

  • English (grade 4-8)
  • Maths (grade 4-8)
