Work

What you'll do at work
As an Air Product Agent Apprentice, you will support the air freight and logistics team in coordinating international shipments and ensuring goods move efficiently through the supply chain. This role will give you practical experience in freight forwarding operations, shipment documentation, and customer service within a fast-paced logistics environment.
Your responsibilities will include:
- Receiving and reviewing shipment documentation, ensuring all paperwork relating to air freight consignments is accurate and processed in line with company procedures and industry regulations.
Preparing air freight shipments by organising documentation, confirming shipment details, and ensuring goods are ready for dispatch - Routing shipments by coordinating with airlines, carriers, and internal teams to ensure freight is transported efficiently and within required delivery timelines
- Managing freight receipts and shipment records, ensuring all deliveries and bookings are recorded accurately within internal systems
- Processing shipment information by updating logistics and freight management systems to maintain accurate tracking of consignments.
Monitoring shipments in transit, tracking freight movements and supporting the resolution of any delays or operational issues - Assisting with coordinating inbound and outbound freight to ensure shipments meet operational schedules and customer requirements
- Communicating with internal teams, customers, and logistics partners to provide updates on shipment progress
- Ensuring all work is completed in line with industry regulations, customs requirements, and company procedures
- Maintaining accurate records and supporting the smooth day-to-day running of air freight operations
- Working collaboratively with colleagues across the logistics and operations teams to ensure efficient service delivery
Physical Demands:
This role combines administrative and operational coordination tasks within a busy freight forwarding environment
The role may involve:
- Use of standard office equipment including computers, keyboards, telephones, and document processing systems
- Handling shipment documentation and maintaining accurate freight records
- Periodically moving around operational areas to coordinate shipments or verify freight details
- Standing or walking for short periods while supporting operational activities
- Maintaining a high level of accuracy and attention to detail when processing shipment and logistics information

- Select freight forwarding services based on customer requirements, taking into account country specific factors, delivery times and modes.
- Use generic or bespoke ICT systems in order to enter and monitor data on importing or exporting goods.
- Book, plan and monitor international shipments, using manual or ICT systems, in accordance with the rules and regulations that apply to that area of the world and to the goods consigned.
- Prepare a customs declaration to a national standard, or give custom clearance instructions to a third party.
- Use data systems to submit the information required by customs authorities as part of the management of the international movement of goods.
- Produce freight costings and invoices in line with Incoterms, customer profile or sales contract.
- Identify and source data from customers, systems or colleagues.
- Identify and resolve problems in line with responsibilities.
- Create and maintain productive working relationships with internal and external customers.
- Adapt communication based on the situation and the audience.
- Identify problems outside of limits of responsibility and escalate within company policy.
- Communicate in writing, preparing communications on technical matters.

Level 3 International Freight Forwarding Specialist Apprenticeship Standard:
On the job training delivered by the employer
Allocation of an apprenticeship delivery coach who will carry out:
- Regular training
- Assessment and support visits to ensure you acquire new learning, knowledge skills and behaviours in order to progress and develop
- Identify, track and support 20% off the job training activities
- Quarterly formal progress review meetings; identifying learning achievements and next steps
