What you'll do at work

As our Business Administrator Apprentice, the job may be suitable for hybrid working, which is where an employee works part of the week in the office and part of the week from home. This is a voluntary, non-contractual arrangement and the location advertised will be your contractual place of work. As apprentices are part of our Early Careers Programme, there is the expectation you attend the office once a week as a minimum in addition to your study day.

This apprenticeship can offer you the support, training and industry recognised qualifications to get you on the path to a career in Business Administration.

There are two roles available and you will provide administrative support to staff within the Services Directorate or Office of Science & Technology, to ensure effective service provision, management of information, activity monitoring and the effective development and use of resources and tools.

Your key duties:

  • Collate and maintain accurate data and records on management information including resources, performance, risk and progress against agreed plans, supporting effective management decision making
  • Provide defined clerical and administrative support (such as organising meetings, taking minutes and chasing actions) to support management
  • Monitor and analyse management information and proactively identify emerging issues and variances, to mitigate risk impact and maximise business opportunities
  • Make recommendations for, and lead on, improvements and changes to administrative working practices to enhance service delivery and reduce risk, both locally and through cross-office initiatives
  • Update, coordinate and issue directorate and group level communications, such as responding to correspondence, maintaining and developing internal communication channels and compiling reports, to ensure staff across the organisation are effectively informed
  • Assist with the planning, organisation and delivery of high-profile events and conferences to ensure they run effectively within the resources allocated
  • Develop excellent working relationships with colleagues and external customers, underpinning smooth and efficient service delivery and increased growth

What you'll learn

Course contents
  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
  • Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

Training schedule

Business Administrator Level 3.

We would look for you to join us in September 2026 with your apprenticeship training beginning shortly afterwards. You will be managed by a line manager and have a mentor to offer further support. You will have on the job training and in house development opportunities during your apprenticeship. You will have 1 day per week dedicated to your 20% off the job training with the training provider, Exeter College. The training will be delivered predominantly face-to-face, as well as through self-study. You will have the opportunity to work with a central support team, allowing you to develop your knowledge, skills and behaviours in this occupation whilst contributing to Met Office aims.

Essential qualifications

GCSE or equivalent in:

  • Maths (grade 4/C)
  • English (grade 4/C)
