Summary
As an Assistant Events Apprentice, you will assist and support the Visitor Services, Farm team and Education team in delivering events throughout Forge Mill Farm. This is a great opportunity to learn about event planning and operations while gaining hands-on experience.

Work
Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.
What you'll do at work
- Assist with event operations, supporting the team with planning, preparation, and delivery.
- Support the Events Team in managing bookings, administration, and event setup.
- Carry out administrative tasks to ensure smooth event delivery and the day‑to‑day running of Forge Mill Farm.
- Take part in planning and preparing events under the guidance of senior staff.
- Assist with setting up and clearing away events, including arranging furniture, decorations, signage, and equipment.
- Welcome and guide visitors and guests during events and general farm visits.
- Monitor supplies and equipment needed for events, reporting shortages and maintaining asset records.
- Assist in promoting upcoming events through social media or printed materials under supervision.
- Support the team in gathering guest feedback to help improve future activities.
- Maintain accurate records and databases related to bookings and event details.
- Provide lunch cover and support within the Forge Mill Farm shop, play barn, and seasonal outlets, including till work, retail preparation, and event promotion.
- Shadow experienced team members to learn best practices in customer service and event coordination.
- Participate in team meetings and training sessions to develop skills related to events, farm operations, and educational visits.
- Keep accurate records of event income and expenses to support successful event delivery.
- Contribute to an inclusive and welcoming environment by supporting Equality, Diversity, and Inclusion (EDI) values.
- Carry out other duties as required to support the team and service goals.
- Follow Health and Safety policies to help maintain a safe working environment.

What you'll learn
Course contents
- Operational: Gather facts and collate information in response to a brief or request, like searching for the right location and venue for an event.
- Operational: Respond to requests from the different functional teams and carry out a variety of daily and weekly tasks to assist in the planning and preparation of an event.
- Operational: Provide assistance onsite at an event by registering delegates or by helping to assist the onsite team with a variety of tasks.
- Operational: Manage your time effectively by understanding how to prioritise tasks according to their importance and urgency for the stakeholders of an event.
- Operational: Use software packages to create word processing and spreadsheet documents.
- Operational: Contribute to reports, event project plans and written presentations for clients
- Operational: Use a range of event technology platforms and in-house bespoke software systems and databases.
- Operational: Show careful attention to regulations and internal policies.
- Professional: Listen, interpret, understand, vocalise and respond to clients’ needs.
- Professional: Speak and write clearly in order to prepare written communications or provide instructions that are needed for a client, supplier or team member.

- Professional: Have the skills to maintain relationships with colleagues, suppliers or clients once they are built, and be able to repair them when they are damaged.
- Professional: Work effectively within a group environment to prepare for, deliver and/or follow up after an event takes place.
- Commercial: Assist in the preparation, management and reconciliation of event budgets by collecting information, checking data and making calculations.
- Commercial: Show how commercial awareness has been applied through task and time management, specifically using efficient and effective measures to conclude a project in the most proficient way.
Training schedule
At the end you will gain a Level 3 Event Assistant Qualification. The apprenticeship training will be delivered in the workplace, and you will receive visits from a college assessor.
The apprenticeship will also include a proportion of 20% Off the Job Training and a robust programme of Mandatory Apprentice Training provided by Sandwell Council to include Fire Awareness, Prevent, Safeguarding, Data Protection & Cyber Security and Equality & Diversity.

GCSE in:
