Summary

We are seeking an Events Assistant Apprentice (level 3) to gain experience in developing, promoting and delivering events. You will support our busy events programme to ensure events run smoothly, working closely with the Events & Training Lead, members and the IES team to help deliver our conferences, webinars and training events.

Wage

£24,570 a year

This position is full-time (37.5 hrs/week Mon-Fri). We offer flexible working arrangements whereby employees are able to structure their working day around our core hours (the time that employees are expected to be online) of 10am to 4pm.

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

  • Support the Events & Training Lead with the daily tasks necessary to plan and prepare in-person and virtual events in order to see them through from conception to completion
  • Source appropriate venues using the brief provided and collate a comparison spreadsheet based on key details
  • Schedule meetings, draft meeting minutes, and track actions from event organising committee meetings
  • Support event administration including updating the events calendar, building event web pages, responding to event attendee enquiries, and maintaining planning spreadsheets
  • Update event budgets as expenses are agreed and income confirmed
  • Assist in the development of a marketing plan for each event

What you'll learn

Course contents
  • Operational: Gather facts and collate information in response to a brief or request, like searching for the right location and venue for an event.
  • Operational: Respond to requests from the different functional teams and carry out a variety of daily and weekly tasks to assist in the planning and preparation of an event.
  • Operational: Provide assistance onsite at an event by registering delegates or by helping to assist the onsite team with a variety of tasks.
  • Operational: Manage your time effectively by understanding how to prioritise tasks according to their importance and urgency for the stakeholders of an event.
  • Operational: Use software packages to create word processing and spreadsheet documents.
  • Operational: Contribute to reports, event project plans and written presentations for clients
  • Operational: Use a range of event technology platforms and in-house bespoke software systems and databases.
  • Operational: Show careful attention to regulations and internal policies.
  • Professional: Listen, interpret, understand, vocalise and respond to clients’ needs.
  • Professional: Speak and write clearly in order to prepare written communications or provide instructions that are needed for a client, supplier or team member.

  • Professional: Have the skills to maintain relationships with colleagues, suppliers or clients once they are built, and be able to repair them when they are damaged.
  • Professional: Work effectively within a group environment to prepare for, deliver and/or follow up after an event takes place.
  • Commercial: Assist in the preparation, management and reconciliation of event budgets by collecting information, checking data and making calculations.
  • Commercial: Show how commercial awareness has been applied through task and time management, specifically using efficient and effective measures to conclude a project in the most proficient way.

Training schedule

An apprenticeship includes regular training with a college or other training organisation. At least 20% of your working hours will be spent training or studying.

More training information

Training will be provided by Ginger Nut Training. Ginger Nut’s delivery is based on a remote, blended model of one-to-one tutor sessions every 4 weeks, group sessions, webinars, online courses, video, and additional support where required. Apprentices are allocated a tutor to guide them through the training, conduct regular meetings and prepare for End Point Assessment. Our tutors are industry experts with relevant industry experience in addition to teaching and coaching expertise.

To support learning, we utilise online resources mapped to the apprenticeship and all learners are given access to LinkedIn Learning and other bespoke channels designed to support their apprenticeship.

Essential qualifications

GCSE in:

  • English (grade A-C/9-4)
  • Mathematics (grade A-C/9-4)
