Summary

An exciting opportunity has become available for a Medical Receptionist Apprentice to join our friendly reception team. We are looking for an enthusiastic and motivated individual that is keen to learn the role. The successful candidate will be matched with a mentor that will work with them on a 1 to 1 basis and train all reception roles.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

  • Receive, assist and direct patients in accessing the appropriate
    service or healthcare professional in a courteous, efficient and
    effective way
  • Provide general assistance to the practice team and project a
    positive and friendly image to patients and other visitors, either in
    person or via the telephone
  • Book/cancel/rearrange Doctors, Nurses and Other Health Care
    professionals appointments in line with the agreed practice policy.
  • Support the practice with the administrative duties required,
    including the typing of referrals, issuing of repeat prescriptions,
    management of recall for patients with long-term conditions

  • Use a range of questioning skills, including listening and responding in a way that builds rapport, determines customer needs and expectations and achieves positive engagement and delivery.
  • Depending on your job role and work environment: Use appropriate verbal and non-verbal communication skills, along with summarising language during face-to-face communications; and/or
  • Depending on your job role and work environment: Use appropriate communication skills, along with reinforcement techniques (to confirm understanding) during non-facing customer interactions.
  • Depending on your job role and work environment: Use an appropriate ‘tone of voice’ in all communications, including written and digital, that reflect the organisation’s brand.
  • Provide clear explanations and offer options in order to help customers make choices that are mutually beneficial to both the customer and your organisation.
  • Be able to organise yourself, prioritise your own workload/activity and work to meet deadlines.
  • Demonstrate patience and calmness.
  • Show you understand the customer’s point of view.
  • Use appropriate sign-posting or resolution to meet your customers needs and manage expectations.
  • Maintain informative communication during service recovery.

    Apprentices will be allocated a Trainer Assessor and training will be
    planned and delivered in conjunction with the employer to meet
    the individual needs of the apprentice.
    The apprentice will spend 20% of their working hours in off-the-job
    activities and training.
    On-the-job and off-the-job training will be delivered in the
    workplace.

    Essential qualifications

    GCSE in:

    • English (grade C/4 or above)
    • Maths (grade C/4 or above)

    About this company

    Oakwood Surgery is a busy training practice, rated 'good' at our last CQC inspection, split over two sites. Our team is made up of: 5 GP Partners 5 Salaried GP's 8 Nurses/HCA's 1 Pharmacist Prescriber 1 Practice Manager 19 Receptionists 10 Other administrative staff We also work collaboratively with a team of pharmacists, FCP's and paramedics to provide a multi-disciplinary service to our 16,000 patients. As a training practice we are passionate about supporting our team to learn new skills and develop in their role to better meet the needs of our patients.

    After this apprenticeship

    At the end of the apprenticeship, there may be the opportunity to
    transition to a permanent member of the reception team if there is
    a vacancy.
    The surgery may also work with the candidate to support them in
    completing Level 3 Customer service.
