Summary

Aermec UK Ltd is looking for an enthusiastic, organised and motivated apprentice to join our Health, Safety, Quality & Environmental (HSQE) department. This is an opportunity for someone interested in business administration, compliance, health & safety and environmental management who wants to develop a long-term career.

Wage

£15,600 for your first year, then could increase depending on your age

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

Aermec UK Ltd supplies and services commercial and industrial heating, ventilation and air conditioning (HVAC) systems. Based in Rochford, Essex, the company provides energy-efficient temperature control products, including chillers and heat pumps, alongside 24/7 maintenance, emergency repairs and project consultancy for major UK enterprises.

Working closely with experienced members of the HSQE team, you will gain practical experience supporting the company's health and safety, quality, environmental and facilities processes.

You will be fully trained and supported throughout the apprenticeship, but we are looking for someone who is organised, reliable, confident using computers, has good attention to detail and is willing to learn.

What will the apprentice do at work?

The successful apprentice will support the HSQE department with a variety of administrative, compliance and operational duties, including:

  • Assisting with the development and maintenance of health and safety policies and procedures
  • Supporting risk assessments and helping to maintain associated records
  • Assisting with site audits and workplace inspections
  • Maintaining accurate and up-to-date HSQE records and documentation
  • Supporting compliance and certification processes
  • Assisting with incident and accident reporting and maintaining investigation records
  • Following up on corrective actions and ensuring records are updated
  • Supporting the promotion of health, safety, quality and environmental awareness across the business
  • Assisting with the preparation of health and safety information and toolbox talks
  • Supporting environmental monitoring, including waste management and energy usage
  • Assisting with the review and updating of quality and environmental management systems
  • Helping to ensure company procedures and documentation remain current
  • Supporting internal and external audit preparation
  • Assisting with communication and correspondence with external auditors and regulatory bodies where required
  • Maintaining electronic and paper filing systems
  • Updating spreadsheets, databases and company records
  • Preparing reports, documents and presentations using Microsoft Office
  • Supporting building compliance and facilities management activities
  • Assisting with general administrative duties within the HSQE department
  • Working with colleagues across different areas of the business to obtain information and complete tasks
  • Taking on additional responsibilities as knowledge and confidence develops

The successful apprentice will be expected to:

What you'll learn

Course contents
  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
  • Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

Training schedule

Level 3 Business Administrator Apprenticeship Standard.

Full training and support will be provided within the workplace.

The apprentice will complete off-the-job training during their normal working hours and will work towards the recognised Level 3 Business Administrator qualification.

Functional Skills Level 2 in maths and English will be completed if required.

Route and Schedule Details:

Route 23B: Runs from Leigh-on-Sea Station through Belfairs, Eastwood, and Comet Way, looping directly into the Airport Business Park (including the Launch Pad) and Aviation Way.

Frequency: Operates at up to 30-minute intervals during peak daytime hours. 

Days of Operation: Monday to Friday.

The successful candidate should be reliable, hardworking and willing to take responsibility for their work. You will be working with important compliance and safety information, so attention to detail and accuracy are essential.

You do not need previous experience in HSQE - what matters is your attitude, willingness to learn and ability to follow procedures and work carefully.
