What you will do in your working day

Main Duties and Responsibilities:

  • Support the Maintenance of standards and procedures for all business management activities, assisting in the development and implementation of tools and approaches to support the management of the undertakings of Business Management and helping to raise standards in the management and delivery of the function’s tasks
  • Support the provision of advice, guidance and assistance to IT staff and other internal functions on Business Management practices, delivery and governance, in these areas to support the continuous improvement of standards
  • Support the continual monitoring of all IT Revenue spend against budgets, highlighting areas of concern and assist with resolutions alongside Head of IT Business Management
  • Assist in the collation of information relating to project and programme finances and support the co-ordination of projects and programme accounting, monitoring expenditure against budgets and the delivery of business cases, supporting advice given to managers appropriately on these and any related matters
  • Support the monitoring and scrutiny of all IT projects and programmes to capture all potential future revenue impacts, cost compliance to contract and correct engagement of suppliers
  • Assist IT Service Supports Office with procurement activities including obtaining quotes, raising purchase orders, confirming deliveries, receipting orders through to invoice payment
  • Support IT Business Management function and City Procurement Accounts Payable to ensure invoices are processed and paid on time, working with internal teams and suppliers to meet expectations and improve processes
  • Assist with maintenance of Contract renewal schedule. Ensuring all necessary renewals are processed in a timely manner and compliance with Corporate Governance
  • Support IT Team with new Procurement, liaising with City Procurement to ensure compliant to regulations and that relevant timeframes are met
  • Assist with monitoring and review of suppliers Contract Performance against agreed SLAs / KPIs. Highlighting areas of concern and assisting with resolution
  • Supporting the Business Management function in collating performance metrics across multiple suppliers and producing reports for Business Stakeholders and Governance channels
  • Assisting with the management of IT Audits undertaken by the Audit department, ensuring all actions are completed on time and reported in line with corporate governance
  • Assisting with the management of IT Risks. Acting as a point of contact for all outstanding actions, ensuring completion of tasks in line with expectations
  • Coordination of Reporting from the Business Management function for all Governance channels including Committees and Senior Stakeholders
  • Gaining insight into the broader working of all functions in the IT Division and our core digital toolkit
  • Actively seek to implement the City of London’s Occupational Health and Safety Policy in relation to the duties of the post, and at all times give due regard to the health and safety of yourself and others when carrying out the duties of the post

The training you will be getting

You will be supported to achieve the Business Administration Level 3 apprenticeship. Theoretical training will be delivered weekly with the support of the training provider. Practical training and support will be given in the workplace allowing you to embed your learning in the working environment.

You will receive hours 6 per week to support with your apprenticeship studies. 

What to expect at the end of your apprenticeship

On successful completion of the apprenticeship, we aim to offer a permanent role within the team if a position is available. Alternatively, we shall endeavour to secure an alternative position within the City of London Corporation.
