    Monday to Friday office hours, however there may be a requirement to work occasional weekends and evenings, in order to experience and support live events. Advanced notice would be given. Shifts to be confirmed.

What you will do in your working day

  • To assist with the day-to-day administration of the People and Health & Safety department
  • To support the People Assistant with the administration of the company recruitment activity, including helping to post vacancies on to the company intranet and website and responding to candidate emails as required
  • To shadow and gain a good understanding of the monthly payroll processes
  • To take minutes of departmental meetings and maintain records
  • To support the People Assistant to complete an audit of employment files, ensuring that all required paperwork is saved accordingly
  • To work alongside the People team, to ensure that employee data is logged efficiently and correctly on the database and various spreadsheets, such as appraisal scores and equality and diversity data
  • To support with the coordination of corporate training programs, including booking rooms and sending out diary invites
  • To support the People Assistant in the administrative tasks related to the company E-learning platform, such as enrolling staff on the training modules and logging pass rates in the training matrix
  • To support the Wellbeing and Engagement Forum, and wider company wellbeing and welfare initiatives under the guidance of the People Team and H&S Department
  • To support the People Assistant, to log and keep up to date Health Surveillance records, such as vaccinations, as well as the outcome of hearing, working at height and shift worker assessments
  • To support the H&S Department to undertake and/or review H&S Arrangements, H&S Reports, Data Protection Policy, and Risk Registers
  • To shadow and gain a good understanding of incident and close call investigations as well as continual improvement practices
  • To shadow and gain a good understanding of event safety management across a range of Arena Shows, Conferences and Exhibitions
  • To support the Head of Health and Safety and the Quality Business Partner with the ISO9001 quality management auditing program, as well as the wider H&S and OSR audit programs
  • To assist with the day-to-day administration of the H&S Department as well as supporting the maintenance of the Health and Safety section of the company intranet and working on Health and Safety projects as required
  • Under the guidance of the Head of Health and Safety, ensure that the Health and Safety templates such as risk assessments and SOPs remain up to date and in line with H&S legislation
