What you will do in your working day

  • To provide an administrative and secretarial service to the Head of Employability and Projects, including minute taking, arranging meetings, bring-forward, gate-keeping services and liaising with external agencies.
  • To assist the Head of Employability and Projects with preparation of College reports.
  • To implement a data check system relating to learner record documentation to include enrolment, transfer, withdrawal and completions for all Skills Bootcamps
  • To liaise with co-ordinators to ensure that all adjustments are correctly and effectively implemented.
  • To carry out all confidential work using Word, Excel and Access for Directorate Staff as required and to have knowledge of electronic systems and files for documentation and storage.
  • To set up and maintain the centralised and standardised Directorate filing systems, including programme files, confidential learner files.
  • To co-ordinate departments returns in line with the College’s Financial, HR and Quality procedures.
  • To assist with the administration of enrolment planning and processing.
  • To support the department links with the centralised timetable system.
  • To ensure department returns occur in a timely, effective and efficient manner.
  • To carry out office stationery control.
  • To manage equipment bookings, including laptops, video and digital cameras and voting systems.
  • To deal with department enquiries and support the recording of learner and staff absence.
  • To manage the sorting and prioritising of departments mail including e-mail.
  • To manage the departments links within employers including managing the operation of the Employer Liaison boards and maintain accurate records using the CRM.
  • To be actively involved in the administration and evaluation of marketing activities, learner recruitment, learner interviews in conjunction with the Employment Engagement Advisor and Training and Engagement Officer.
  • To actively show a commitment to the Departmental Strategic Objectives.
  • To show an active commitment to the College's Equality and Diversity Policy, Quality Frameworks and Health & Safety Procedures.
  • To actively participate in Continuous Professional Development including the introduction of new technologies to allow you to contribute effectively to the success of the College.
  • To carry out such other appropriate duties commensurate with your skills, knowledge and experience.
  • The College may, in consultation with you, need to vary these duties from time to time in order to respond to the changing requirements of the College.
