What you will do in your working day

The University has a portfolio of rental properties that are let on a temporary basis to staff that are moving to Bristol to work at the University.  This allows them time after they have arrived, to find permanent accommodation. Working within the Staff Residential Lettings Team in the Venues & Events Department, the role holder will work with both the lettings and facilities management team members to assist in managing a portfolio of rental properties across Bristol and into North Somerset.  This will involve handling incoming tenant applications, allocating properties, preparing tenancy documents and coordinating the arrival process for tenants, as well as inspecting properties for condition and tenant care, and mid-way and end of tenancy inspections.

Duties will include:

Analysis, Reporting and Documentation  
* Use of University IT systems at a basic level, using basic data entry skills e.g. completing Excel spreadsheets with defined data following instruction 
* Routine photocopying/filing  
* Collation of information packs for internal or external distribution following basic instructions  
* Assisting with routine large mail outs/envelope stuffing campaigns following basic instructions  
Customer Services & Support  
* Receiving and making telephone calls and taking messages within prescribed standards
* Providing cover in reception areas. Tasks in this area may include greeting and providing guidance to customers and the giving and receiving of basic information in relation to Univesrity property services.
Planning & Organising  
* Assisting colleagues in diary management
* Arrange meetings and refreshments for colleagues and visitors  
* Assist other members of the administration team 
Liaison   
* To represent the University in a positive way in line with University policy
Problem Solving  
* With support seek to identify and support changes to ensure processes are effective and internal and external customer friendly
Continuous Improvement   
*To undertake internal training as required
To attend college day release in line with college/training provider attendance policy
People Management  
*Provide support to colleagues as instructed
 
 

The training you will be getting

You will achieve a Housing and Property Management Assistant - Level 2 apprenticeship.

You will also complete University mandatory training.
