What you will do in your working day

  • To assist with the effective and efficient running of the School Office
  • To act as first point of contact with the school for parents and visitors
  • To organise, maintain and monitor school finance and personnel systems ensuring effective delivery of service to school
  • To be an active member of the school staff team
  • Contribute to the safeguarding and promotion of the welfare and personal care of the children and young people with regard to Safeguarding and Child Protection Procedures and ensuring that confidentiality is adhered to at all times
  • Contribute to the overall aims and ethos of the school and trust. Undertake general secretarial / receptionist duties - acting as first point of contact with the school, responding to enquiries, and passing appropriate messages or information to staff
  • Receive all visitors and deliveries, inform appropriate staff and ensure visitors sign into school and are given security badges
  • Support the administration of the school and the Senior Leadership Team with good, general word-processing skills and general secretarial help
  • To type appropriate school documentation
  • Daily checking of school email accounts
  • To undertake filing, word processing and reprographic duties
  • Collection and recording pupil contributions for trips and activities
  • Co-ordinate information for pupil transfer and respond to enquires, both verbal and written, for school profile and other information
  • Be responsible for opening and distribution of incoming mail and dispatch of outgoing communications
  • Co-ordination of Nursery waiting list and admissions
  • To administer minor first aid to any pupils, who do not require the attention of the qualified first aider. Ensure all pupil records on The MIS System are accurate and kept up to date
  • Administer the school’s admissions and withdrawal procedures maintaining accurate numbers of pupils on roll
  • Ensure that electronic pupil attendance records are kept up to date and meet regulations. Processing of orders, on Access
  • Maintain the confidentiality of all the school’s records in relation to staff and pupils, in line with the latest requirements of the Data Protection Act, General Data Protection Regulation and Freedom of Information Act. To contribute towards the effective management of financial administration procedures, including responsibility for compliance with financial regulations
  • Processing orders on the Finance System, in a timely manner in accordance with the MAT’s Financial Handbook
  • To undertake any other duties which may be regarded within the nature of the grading of the post, as specified by the Headteacher and Director of Finance and Operations
  • The post holder must comply with the trust’s Health & Safety policy and Equal Opportunities Policy
  • To attend any relevant training courses to ensure continued professional development

About the employer

Fairhaven Primary School is a one-and-a-half form entry primary school. It was opened in September 1969 as a 5-11 Primary School. In September 2020 our Nursery was opened for children aged 3 and 4 and subsequently the school was re-designated as a 2-11 year old provision. Fairhaven Primary School accommodates up to 339 pupils, with Reception pupils being admitted in September each year at the age of 4. Fairhaven is an Academy within St Bartholomew’s CE Multi Academy Trust which is a private company limited by guarantee, with charitable status, registered in England and Wales.
