What you will do in your working day

Our client specialises in providing full print services including all print, signage and graphics solutions from concept design, through to final installation or delivery to their customers. They are currently looking to recruit a motivated individual to support their office with general administration. They are a small friendly team of 5 and there will be full support and guidance for the successful candidate.

Key responsibilities:

  • Answer phone calls and assist customers or transfer calls to other team members, take accurate messages and give accurate updates to customers both new and existing
  • Manage and process all incoming mail and email
  • Maintain electronic and hard copy filing systems
  • Enter new orders in to our inhouse order system and track existing orders to completion
  • Manage new e-commerce orders through to completion and invoicing
  • Process files from customers for the designers, including converting files to PDFs and preparing Excel data merge files
  • Resolve administrative problems and inquiries
  • Prepare quotes and respond to follow up enquiries
  • Request bespoke pricing from suppliers to enable customer quotes to be created
  • Order materials from suppliers and check incoming deliveries for accuracy or damage
  • Monitor office supplies, materials and ink stock
  • Arrange meetings and site surveys for the signage team and Directors
  • Prepare agendas for meetings and manage follow up actions
  • General bookkeeping, entering purchase and sales invoices into excel for upload to accounting system

Person specification:

  • As an established business the days can be fast paced and varied so being able to multitask and prioritise your working day will be essential
  • Good communication skills via telephone and email is a must
  • Strong planning and organising skills
  • Attention to detail and accuracy
  • Microsoft Word and Microsoft Excel knowledge
