What will the apprentice be doing?

Data Entry and Management:

  • a. Accurately inputting student data into the college's information management system.
  • b. Assisting in the maintenance and organisation of data files, ensuring data integrity and confidentiality.
  • c. Conducting routine data quality checks to identify and rectify errors or inconsistencies.

Communication:

  • a. Answering queries sent to the Registry inbox.
  • b. Organising the distribution of mobile phones for trips and visits.

General Administrative Support:

  • a. Assisting with general administrative tasks, such as answering phone calls at Reception, welcoming visitors, responding to emails, and handling inquiries from various stakeholders.
  • b. Supporting the administrative team with filing, document management.
  • c. Assisting in the coordination of meetings, workshops, and events, including scheduling, logistics, and documentation.

Resources:

  • a. Assisting with the production of resources for teaching.

What training will the apprentice take and what qualification will the apprentice get at the end?

Level 3 Business Administration Apprenticeship Standard.

In house training will be provided on an ongoing daily basis with the current finance team. You will not be required to attend Dudley College premises as the course is delivered in the workplace only. An assessor will be allocated to you to progress/help you through you course. Continual assessments, coupled with assignments/or exams depending on course of study. Time spent training will be part of the agreed contracted hours of the working week.

At the end of your training, you will sit an exam and submit course work as part of your assessment, and you will receive a Level 3 qualification.

Where a business administrator has not already achieved Level 2 English and Maths, they must do so before taking the end-point assessment.

King Edward's offers training to all staff at CPD events (safeguarding etc).

Things to consider

While the apprenticeship is shared between MIS and administration, this will not always be an even share of each week. At busier times for MIS at the start of the academic year you will spend most of your time in this area. At other times you will work solely with the administration team. This role would see you working closely with two teams. In the Registry, you will work on Management Information Systems which are there to support the work of student data input and checking. The Registry team has four members who will be keen to support you and develop your skills in inputting and reporting on college data. Working with the Administration team right across the college in a variety of roles, you will assist in the day to day organisation of the college, supporting Reception and also in Resources to help deliver teaching materials for use in lessons. Where you might occasionally have to work at a time outside of normal college hours, the college operates a 'time off in lieu' scheme. These extra hours worked can be accumulated and taken as time off at another time in the year.

King Ed's is a large sixth form college with 200 staff and around 2600 students who study A levels. The college prides itself on the effective delivery of A level education to students who are willing to travel in from 90 minutes in all directions. The college has a very mature, diverse and vibrant community and is often described as feeling like a university. Around 80% of leavers will go on to study at university with the remainder heading towards apprenticeships and employment. The college itself is located in Stourbridge town centre and benefits from all of the local amenities such as shops, cafes and a wide variety of places to eat. We are 5 minutes walk from Stourbridge Interchange which is the local bus and train station combined. The shuttle train takes just a few minutes to reach Stourbridge Junction with regular services to Kidderminster, Worcester, Sandwell and Birmingham. Staff are offered subsidised car parking in the town at a cost of £20 per month. We also offer cycle racks and we take part in the cycle to work scheme. Staff routinely undertake training in areas such as safeguarding. We are also part of the Heart of Mercia Multi Academy Trust and we regularly benefit from contact with colleagues in partner institutions at Worcester Sixth Form College and Hereford Sixth Form College.
