What will the apprentice be doing?

The following are the core responsibilities of the administration assistant. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

  • Processing of incoming and outgoing mail
  • File and store records as required 
  • Photocopy documentation as required 
  • Process and distribute incoming faxes
  • The processing of changes to patient registration, deduction of records and new patient registration 
  • Input data into the patient's healthcare records as necessary 
  • Answer incoming phone calls, transferring calls or dealing with the callers request appropriately 
  • Welcome patients and visitors to the practice, directing requests appropriately 
  • Maintain a clean, tidy, effective working area at all times 
  • Support all clinical staff with general administrative tasks as requested 

In addition to the primary responsibilities, the medical administrator may be requested to:

  • Partake in audit as directed by the audit lead
  • Support reception staff, providing cover during staff absences
  • Book appointments
  • Complete opening and closing procedures in accordance with the duty rota

  • Inhouse training to be provided by the employer 
  • Functional skills in maths and English to be provided by the training provider if needed
  • Business Administration Level 3 qualification

About the employer

Greenwood Surgery has been practising in South Woodham Ferrers since 1984. For many years Greenwood Surgery was based in premises near the Town Centre but due to increasing patient numbers and changes to legislation the premises were no longer fit for purpose and did not meet the requirements of the NHS Premises Standards. In November 2019 Greenwood Surgery moved in to brand new, purpose built premises located on Burnham Road, which is on the periphery of the town. The new premises offer more consulting rooms and better accessibility for patients who may have mobility issues. Greenwood Surgery prides itself on being a family doctor service having seen a couple of generations of families who have remained loyal to Greenwood Surgery.
