What will the apprentice be doing?

Mission: To ensure that inbound telephone and email enquiries to Vespasian are welcomed in a friendly professional and proactive manner. The role is to act a as the company receptionist, directing enquiries to the team members operating throughout the core office team.

Regular tasks:

  • Screening and directing of inbound telephone and email enquiries.
  • Taking of minutes and actions at meetings
  • Booking of travel arrangements for team members travelling for the purposes of work
  • Completion administrative tasks assisting office based team members
  • Assisting the Referencing Officer in the completion of background referencing checks for new applicants to operational teams.
  • Build positive relationships with all those you have professional contact with, always representing Vespasian in the best light.
  • Scheduling meetings, ensuring coordination and communication with attendees

This role will require attention to detail as well as flexibility. You will need be relentless in maintaining a positive and proactive approach to a workload that is often diverse and fast moving.

The ability to be a self-starter and persevere at finding solutions to problems and barriers encountered when working to complete a task is vital.

Irregular tasks:

  • Attendance at important projects to see the impact of operational teams and better understand the positive work being done by Vespasian.
  • Attendance at local and national events and festivals to assist in on site administrative systems when required.

You will receive additional short course training as standard, including:

  • Emergency First Aid at Work Certificate
  • Team Working
  • Infection Control
  • Conflict Management

SIA Training - You will also be given the opportunity to attend a 6-day SIA Door Supervisor training course to enable you to see the training delivered to frontline team members. This will assist you in gaining a well-rounded view of Vespasian operational teams and their skill base.

This a great confidence building course and one that really helps get under the skin of Vespasian and the wider industry. There will be no expectation to work within a security role, but the skills learnt on this short course will be invaluable to confidence levels, industry and company integration.

What training will the apprentice take and what qualification will the apprentice get at the end?

As an Apprentice, you will have the opportunity to study the following through this Apprenticeship:

·         Apprenticeship in Business Administrator Level 3

·         Employee Rights and Responsibilities

·         End Point Assessment

·         English, Maths and ICT if required

At Havant & South Downs College we offer different methods of delivery either work based or day release. This will be discussed with you upon appointment.

What is the expected career progression after this apprenticeship?

Vespasian is a growing company with aggressive expansion plans throughout the UK. Having recently moved to our new Head Office, Vespasian is in the process of building additional layers of management and operational teams, in Portsmouth as well as in a forthcoming London office.

The excellent and proactive delivery of Secretarial and Administrative systems within Vespasian’s Head Office is vital to our continued success and expansion plans. Vespasian foresee the need to grow this role into a permanent position with Long Term Incentive Plans in place for the perfect candidate post apprenticeship.

At the successful conclusion of the apprenticeship, the candidate will have the opportunity to either remain within the full-time permanent role or to move sideways within the organisation to any open opportunities that arise.

Things to consider

The candidate will have the opportunity to supplement wages by working as part of operational teams at live events, festival and sporting events. This is optional and by no means mandatory.
