What will the apprentice be doing?

  • Provide the initial contact for incoming telephone and email queries which are to be dealt with in a professional and timely manner
  • Co-ordinate purchasing of materials, equipment and consumables, track stock and manage through a database
  • Be fully conversant with QuickBooks accounting software
  • Work with the Commercial Manager to ensure supplier invoices are up to date, paid in a timely manner and any queries are resolved
  • Provide administration support for project work, ensuring all control documents are maintained
  • Supporting all managers with administration, letter writing, filing, scanning documentation
  • Book accommodation, when required, for Training staff
  • Ensure all preventative maintenance records are kept up to date and any queries are raised and resolved in a timely manner
  • Provide regular updates, recommendations, and action plans to improve administrative processes
  • Liaise with customers to ensure regular feedback is gained and recorded
  • Ensure all QMS Corrective Action Requests (CAR’s) are correctly logged, and the correct process is followed at all times
  • Manage QMS document and record control compliance
  • Support the ongoing compliance with ISO 9001 by supporting the Commercial Manager to ensure all QMS procedures are correctly followed
  • Provide administrative support for employee training; ensuring records are kept up to date and to organise training courses as directed
  • Provide administrative support to the Training Division including (but not limited to); dealing with delegate queries, sending joining instructions, organising accreditation paperwork, updating systems and organising training facilities and equipment
  • Complete all tasks to a high standard, look to continuously improve and share best-practice across all areas
  • Apply problem-solving skills to resolve challenges
