What will the apprentice be doing?
- The opening and distribution of the Finance Department’s daily post
- To assist and support the Purchasing Assistant and Purchase Ledger Clerk(s) to process and batch non purchase order invoices due for payment and circulate for authorisation in accordance with College Financial Regulations
- To assist and support the Purchasing Assistant and Purchase Ledger Clerk(s) to accurately input and record supplier invoices, matching to purchase orders, including the correct recording of VAT
- To process all manual order requisition forms (POPs), and distribute official Purchase Orders via email to suppliers and relevant staff members, ensuring that the Goods In office are informed of pending deliveries
- Monitoring of the Purchasing email inbox to include the sorting of invoices, credit notes, and statements to be checked and forwarded for authorisation; and responding to general Purchasing enquiries
- To create and amend supplier cards as necessary, ensuring that email addresses are recorded to aid the sending of electronic remittance advice notes to suppliers
- To assist with the categorising of suppliers and to update supplier cards with category information to aid the Smartlist reporting function
- To monitor and review electronic purchase requests on the E-Request system in Draft, Submitted, or Rejected status to aid good housekeeping and to assist in accurate budget information.
- To check the general Query and New Supplier folders on a weekly basis to resolve invoices in query and to chase any outstanding paperwork (internal and external new supplier forms).
- Answering the telephone and taking messages when required, and dealing with supplier enquiries via telephone and email and responding in a timely manner
- To provide a high level of customer service both to internal and external customers at all times
- To undertake general filing/archiving of electronic and paper documents for the Finance Department
- To support staff in receiving visitors to the Finance Department. · To assist with enrolment duties (including evening enrolment in August/September each year)
