What will the apprentice be doing?
Job purpose:
Under the direction of the Admin Officer and senior staff, provide general clerical, administrative and reception support to the school.
Main duties:
- Undertake reception duties, being the first point of contact for parents and visitors to the school eg, answering routine telephone and face to face enquiries and signing in visitors, adhering to the school’s security policy, responding to general email enquiries, liaison with school transport staff at beginning and end of the day
Provide pupil first aid/welfare duties, looking after sick pupils, liaising with parents/staff etc.
Co-ordinate arrangements for visits by medical professionals and other partners
Maintaining the online school calendar and room booking systems
Administration:
- Provide routine clerical support e.g. photocopying, filing, faxing, emailing, complete routine forms, sort and distribute mail
- Maintain manual and computerised records/management information systems, e.g. SIMS attendance data, pupil record file, weekly diary, room bookings and undertake typing, word-processing and other IT based tasks
- Undertake routine administration e.g. inputting and extracting SIMS data, school meals, collating and distributing pupil information, maintaining the accident and incident register
- Provide assistance with the arrangement of and attendance at school functions
- Assist with the deployment of cover staff to classes, including making decisions about redeployment in the case of shortage of staff
Resources
- Operate office equipment e.g. photocopier, computer, laminator
- Arrange orderly and secure storage of supplies
- Undertake routine financial administration e.g. collect and record school uniform payments as required
- Provide admin support for the Education Visits off-site programme including document management on the EVOLVE system
- To assist with for uniform sales including stock maintenance and sales
Safeguarding and compliance responsibilities
- Comply with and assist with the adherence to all school policies and procedures including to child protection, health and safety, confidentiality and data protection reporting all concerns to an appropriate person
- Be aware of and support difference and ensure equal opportunities for all
- Contribute to the overall ethos/work/aims of the school
- Appreciate and support the role of other professionals
- Attend and participate in relevant meetings as required
- Participate in training and other learning activities and performance development as required
Desirable Experience:
- Experience of administrative work
- Experience working with children (paid or voluntary)
