What will the apprentice be doing?

  • Answering incoming calls in a professional manner and taking clear and concise messages
  • Corresponding with internal personnel and departments through email and telephone
  • Greeting visitors and workers professionally and providing knowledgeable assistance
  • Organising drinks and lunch for visitors / meetings at HQ
  • Sorting, receiving, and distributing mail, correspondence and packages between departments and personnel at HQ
  • Responsible for all purchase ordering to include H&S equipment such as PPE, stationery, business cards, merchandise etc.
  • Responsible for booking accommodation, train, and airfares as and when required
  • Maintaining building security and health and safety compliance by monitoring sign in/out book
  • Reporting maintenance problems to Office and Facilities Manager for immediate remediation and help to organise for callouts for plumbers, electricians, builders etc.
  • Responsible for organising the parking and boardroom diary at Head Office
  • Responsible for maintaining the boardroom to a high standard, ensuring Health and Safety sanitising practices are carried out between meetings
  • Keeping Office Manager informed by reviewing office systems and identifying trends
  • Assisting the Office & Facilities team with efficient use of accommodation including furniture, cleaning, gardening, maintenance support, archiving, security, and telephone systems
  • Assisting the Office & Facilities team with organising events for the social committee and company days
  • Assist in completing new starter office and facilities inductions
  • Adding new staff on Simple In/Out system
  • Setting up new staff on Zappify business cards for mobile phones
  • Maintaining staff noticeboard
  • Organising archiving, filing, confidential waste, and shredding at HQ
  • At all times to comply with the requirements of the Company’s administrative & personnel procedures and Health and Safety regulations

What training will the apprentice take and what qualification will the apprentice get at the end?

Business Administration Level 3.

Things to consider

Due to the rural location of the office it would be beneficial for the applicant to hold a UK driving license with access to a car or have the means to get to the work place location
