What will the apprentice be doing?
Responsible for the administration of the procurement of goods and services for West Suffolk College. Ensuring that the College follow financial regulations, receives value for money and services that meet college needs.
Main Duties and Responsibilities - the following duties are not shown in order of priority or frequency, nor is the list comprehensive, but rather an indication of the type and level of duties expected of this post:
- Administration of the WAP purchase order processing system, ensure orders are processes and raised within financial regulations.
- Processing orders via various supplier’s accounts in compliance with financial regulations.
- Add new suppliers to Sage and ensure the necessary new supplier paperwork is completed and recorded.
- Build and maintain links with the Finance Department ensuring accurate data integrity and validity.
- Process authorised credit payments and maintaining audit records of purchases in line with financial procedures.
- Assist with contract management, attend meetings where appropriate and update action logs accordingly.
- Undertake market research when required and contact suppliers for quotes.
- Any other duties commensurate with the post.
Decision Making:
- Deal with routine day to day problems of those areas under the post holder’s responsibility.
- Refer non-routine issues to the Procurement Co-ordinator for advice.

What training will the apprentice take and what qualification will the apprentice get at the end?
- The learner will be studying the Procurement and Supply Assistant Level 3 Apprenticeship Standard qualification.
- Advanced Certificate in Procurement and Supply Operations.
- Day release to West Suffolk College.
- Functional skills will be studied if equivalent qualifications are not held.
