What will the apprentice be doing?

  • Assist with administration of various committees and Directorate/Division/Team network meetings, including the preparation/planning of agenda, taking minutes/ notes of meetings, liaising with speakers/presenters, on a range of subjects, whilst maintaining committee and network membership lists as directed
  • Undertake projects and tasks as required, including desktop research and surveys, to support the achievement of divisional and corporate objectives
  • To provide general administrative support to the Directorate/Division/Team and attend meetings as required
  • To assist in the planning and organising of events and publications as appropriate
  • Contribute to communications and marketing including drafting copy and case studies for the London Councils website, publications and newsletters
  • Assist in the preparation of presentations as required
  • Assist with preparation and response to consultations
  • To assist in the planning and organising of events and publications as appropriate
  • Manage Outlook calendars; arrange meetings and site visits with advanced preparation of supporting documents and papers
  • Be the default point of contact for the Directorate/Division/Team for both telephone and email messages
  • Receive and welcome visitors, ensuring they are well looked after, and any needs are catered for
  • Make travel and accommodation arrangements for staff attending conferences, training courses and seminars in the UK and abroad
  • Develop, monitor and maintain the online document storage system for the Directorate/Division/Team including appropriate access control and archiving in accordance with London Councils rules and procedures whilst maintaining any paper files required by Directorate/Divisional/Team
  • Manage, distribute, process and/or scan and store incoming post and Directorate/Divisional/Team emails, action and progress chase as required
