    Monday - Friday 8.00am - 6.30pm opening hours. Shifts to be confirmed between these hours, working 7.5 hours per day. In the future we may open on Saturdays and you may be asked to work one per month.

What will the apprentice be doing?

Duties will include:

  • Answer all incoming phone calls from patients and other healthcare professionals, divert them as appropriate, and/or take and pass on messages
  • Deal with administrative queries and requests from patients and act as liaison with the clinicians as necessary
  • Make/cancel/rearrange appointments via the clinical system. This will include any follow up actions required
  • Ensure up to date patient information is recorded
  • Give test results where appropriate
  • Keeping the workspace area tidy
  • Monitor incoming electronic test results to ensure prompt review by clinicians
  • Data entry of new and temporary registrations and relevant patient information e.g. smoking status, BP, ethnicity, medication from hospital letters
  • Scan all patient information in computerised record i.e. medical documents, hospital reports and letters as necessary
  • Retrieve paper notes from storage unit as requested
  • Photocopy/fax documents as required
  • Shredding/scanning
  • Deal with referrals to primary and secondary care
  • Action tasks set by clinicians via the clinical systems and e-mail.
  • Distribute practice post as instructed
  • Repeat prescriptions and liaising with chemists
  • Reviewing medical records of new patients, inputting and summarising medical history
  • Registering patients
  • Maintain the appointment system
  • Take part in practice performance related to recalls for patients
  • Maintain the Health and Safety of all staff, patients, and visitors
  • Ensure confidentiality at all times
  • Comply and familiarise yourself with the practice’s policies and procedures
  • Carry out any other duties as reasonably requested by the doctors or practice manager

What training will the apprentice take and what qualification will the apprentice get at the end?

  • Full on-the-job and off-the-Job training will be delivered supported by our Training Provider - Davidson Training UK Ltd
  • All training will be carried out within the workplace during working hours
  • Business Administrator Apprenticeship Standard Level 3
  • Level 2 Functional Skills in English and mathematics (if you already do not hold the equivalent)
  • Full training will be given leading to a recognised Business Administrator Apprenticeship Standard

What is the expected career progression after this apprenticeship?

  • There is an opportunity for a full-time role upon completion of the apprenticeship
