What will the apprentice be doing?

Duties to include

  • Maintain a smooth and efficient office.
  • Answer phone, direct calls, take messages & manage unwanted calls using polite telephone manner.
  • Managing and distributing all incoming post and distribute to staff.
  • Prepare and stamp and send outgoing post.
  • Photocopying, scanning, binding as necessary.
  • Updating company stationery to new standards and logo.
  • Management of 'Office Manual' including updating of office policies.
  • Maintain office stationery, monitor and place orders obtaining competitive pricing.
  • Manage office filing/ filing cabinets.
  • Extract files for archive/manage archive room.
  • Prepare new job files/ create new job number/folder structure.
  • Keep members of staff informed of e-mails and calls whilst out.
  • Arrange 'CPD Seminars' for staff and organising refreshments.
  • Assist in preparing quotations/Letters and other occasional typing & proof reading.
  • Management of incoming emails and filing attachments in correct project directories.
  • Assist in diary management.
  • Assist with maintaining ISO 9001, 14001 & 45001 accreditation and quality audits.

  • Functional Skills in maths and English if required.

The course covers a wide range of areas such as communication, finance, business processes & understanding the business environment. The study areas are designed to help build the knowledge, skills and behaviours to achieve the end point assessment which is taken at the end of the apprenticeship through an independent assessment/awarding organisation.
