What will the apprentice be doing?

Provide efficient and effective administration support across several teams in NIS. Provide first line support and cover for reception as required.


Working across a number of teams providing administration support, including but not limited to:

  • Word processing and document preparation that meets the NIS standard.
  • Organise meetings and events, taking minutes and creating action logs.
  • Present information in an appropriate and compelling format for internal and external stakeholders.
  • Using multiple IT packages and systems; specifically, MS Office - update and review databases & spreadsheets, record information and produce data analysis as required.
  • Maintenance of electronic and hard copy files on various inhouse systems.
  • Assisting in the compilation of Lifetime Quality Records documentation.
  • Photocopying, scanning, printing, filing and shredding.
    Cataloguing and archiving files.

Reception -

  • Provide reception and switchboard cover as and when required and to fulfil the duties carried out by the receptionist.

These duties include but are not limited to:

  • Answer all telephone calls and direct/forward as appropriate.
  • Greet all visitors, ensure the visitors’ book is completed correctly, issue security passes, ensure visitor health and safety induction has been completed and advise employees of the arrival of their visitors.
  • Maintain conference room bookings/ pool car bookings.
  • Arrange refreshments and buffets for meetings and deliver as required.
  • Open and distribute incoming mail.
  • Prepare and log outgoing mail.

Additional Tasks

  • Perform any other reasonable task requested by line manager.

What training will the apprentice take and what qualification will the apprentice get at the end?

You will be working towards the following qualification/standard:

Business Administrator – Level 3

This includes:

·         Main Learning Objectives – Support a business administrator’s role in the workplace, principles of business administration, managing performance, communication in a business environment, project management, ICT for business.

·         Functional Skills (if required)

·         EPA (End Point Assessment) – Towards the final few months of the apprenticeship you will complete your End Point Assessment. This includes a knowledge test, portfolio-based interview and a project/improvement presentation. All assessment methods will be conducted and graded by an independent EPAO.

This Apprenticeship is completed within the workplace. You will be assessed through written work and observation throughout your training. You will be given time by your employer to complete portfolio work, attend training, workplace shadowing and any other opportunities to develop your skills and knowledge.

What is the expected career progression after this apprenticeship?

Once successfully completed their NVQ and consistently displaying appropriate behaviours and attitude needed to succeed in NIS, each individual will have the opportunity to agree a career pathway that meets their aspirations and continue to develop their career within NIS.
