What will the apprentice be doing?

  • Working closely with both the Accounts Manager and Business Manager, to provide general administrative support as required.
  • Provide cover to the reception area as needed including, but not limited to, greeting clients and visitors in a professional manner, using the appropriate greeting, respond to and process telephone calls, receive, record and relay telephone messages accurately and in a timely manner as required.
  • Copy and audio-typing as required.
  • Transmit and receive electronic mail and emails and ensure communication to appropriate recipient as soon as possible after receipt.
  • Maintain the firm's archive.
  • Respond to clients' specific requests for information on services in a positive and professional manner by transferring the client to the appropriate administrator.
  • As required, process all deliveries and collections including, but not restricted to, Royal Mail, DX and local post on a daily basis.
  • Remain professional at all times.
  • Banking of cash and cheques on a daily basis.
  • Adhere to all appropriate office administration procedures as detailed within the Office Operations Manual.
  • Ensure confidentiality and security of all practice and client data - ensure GDPR requirements are upheld at all times.
  • Support document retrieval as required.
  • Support the Office Manager as and when needed.
  • Provide daily lunch and break cover to the receptionist.
  • Undertake any relevant and specific training as required in support of the achievement of the role and wider office objectives, including completion of the Level 3 Business Administration Apprenticeship.
  • Use appropriate IT packages to achieve the above.
  • Complete any other reasonable task, project or action as required in support of the overall aims and objectives of the department and wider organisation.

What training will the apprentice take and what qualification will the apprentice get at the end?

This apprenticeship will be delivered over 18 months, resulting in:

  • Level 3 Diploma in Business Administration.
  • Functional skills in English, maths and ICT (if applicable).
  • Employee Rights and Responsibilities (ERR).
  • Personal Learning and Thinking Skills (PLTS).
