To manage and maintain the Head of Deprtment’s diary, actively managing their programme of work, ensuring the most effective use of their time.

Proactively manage the email inbox of the Head of Department, categorising emails, highlighting priorities, as well as using judgement to respond directly and appropriately to queries, which may be of a confidential/highly sensitive nature.

Collate reports and issue to agreed timetables.

Arrange Departmental appointments, meetings, events and conferences, booking suitable venues, organising resources, and booking any associated travel/accommodation requirements.

To attend departmental meetings to take minutes and/or actions and ensure agreed actions are followed up.

To maintain effective electronic and manual filing systems.

Utilise college systems to raise purchase orders as required and be familiar with the Eprocurement system.

To communicate effectively with stakeholders, parents and carers at appropriate times, conveying relevant information about attainment, objectives and progress etc.

To participate actively in the maintenance and promotion of close links with employers and training agencies.

To provide appropriate information to parents/employers through College reporting systems and open evenings.

To assist the Head of Department/Head’s of School with costings and control of materials and equipment when specified.

To support the Head of Department and Head's of School when required.

Be able to manage and prioritise own workload.

Desired qualifications

4 GCSE’s at A-C or 9-4 which ust include the following:


GCSE A*- C or nationally recognised level 2 qualification in Maths or equivalent. (e.g. CSE 1, O Level A – C) or prepared to pass a test prior to interview to demonstrate level 2 ability and then if appointed achieve within an agreed timescale.


GCSE A*- C or nationally recognised level 2 qualification in English or equivalent. (e.g. CSE 1, O Level A – C) or prepared to pass a test prior to interview to demonstrate level 2 ability and then if appointed achieve within an agreed timescale


Level 2 Business Administration or equivalent

Future prospects

Possibility to be taken on as a full-time staff member on timley completion of your apprenticeship.
