Main Responsibilities and Duties:
- Responsible for scheduling of trucks, drivers and technicians to fulfil the requirements of all operating departments
- Manage the flow of work in within the traffic office
- Effective utilisation of the vehicle fleet
- Ensuring compliance with Company CPC terms including but not limited to – maintenance of trucks, working time regulations and tachograph regulations
- Recognising opportunities for service level improvement and implementing
- Working closely with clients to discuss how to maintain and improve service levels.
- Ensuring the fleet is fully compliant
- Ensuring the fleet is operating within transport budgets
- When subcontractors are used ensuring that only LV approved suppliers are used
- Be fully conversant with the LV Shipping IT/computer system and ensure accurate and complete reporting carried out
- Always ensure the safe Load distribution on vehicles and when required utilize the services of LV technical team for Risk assessments and method statements
- Carry out any other reasonable task as may be allocated by line or senior manager
- Deal with visitors & customers in a professional and courteous manner
Admin related duties:
- Drafting letters, emails and other documents, review and answer correspondence when required
- Maintaining filing systems
- Switchboard duties as and when required and directing calls or answering queries in a polite and courteous manner
- Photocopying and printing
- Prompt invoicing of jobs and passing and approving purchase invoices on the Sapphire system
- Regular internal audits and audit reporting
- Maintenance of the office Petty cash system
- Maintaining discretion at all times
- Preparing and sending outgoing mailings and packages
- Monitoring and ordering inventory of office supplies, ensuring that the Company purchasing procedure is adhered to throughout the Admin Department.
- Arranging in house and external events including catering facilities
