Job Summary:

The purpose of the role is to:

  • Provide clerical support to clinical staff and other members of the practice team
  • Undertake a variety of administrative duties to assist in the smooth running of the practice
  • Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
  • Facilitate effective communication between colleagues, patients, secondary care and other associated healthcare agencies

Main duties and responsibilities:

Reception Duties:

  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
  • Book visits, appointments and recalls
  • Ensure that patients without appointments but who need ‘urgent consultation’ are seen according to the agreed procedures
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover
  • Explain, promote and create accounts for patients to access their medical records online
  • Keep the reception and waiting areas, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
  • Take part in annual public health campaigns, manning vaccination clinics
  • Frank the mail and take it for delivery to the Post Office

Medical Records:

  • Ensure records are kept neat, tidy and in good repair, with all necessary information recorded correctly on the outer cover
  • Scan documents onto patients’ computerised records and forward as per practice protocol
  • Add clinic letters received via email onto the clinical system
  • Input coded data from hospital correspondence etc

Clerical Duties:

  • Create referral requests and make appointments using the NHS e-referral system for patients referred under the Two Week Rule Pathway within 24hours of seeing the doctor
  • Take messages and pass on information via tasks and use of screen messages for urgent notification
  • Action and complete patient and admin tasks
  • Cancel clinics and re-arrange appointments for patients when necessary
  • Provide clerical assistance to practice staff including photocopying, scanning, faxing and sending letters
  • Update patient demographics
  • Arrange Transport of patients via the Ambulance Service
  • Registration of new and temporary patients
  • Deductions of patients
  • Assist with monitoring and recall systems to ensure target figures are met for Cytology, Vaccination and Immunisations and Chronic Diseases by inviting patients in by mail and phone
  • Photocopying / scanning patient medical records
  • Maintaining and ordering stationery supplies
  • Charging patients the appropriate amount for private work, providing a receipt to the patient and recording the charge in the petty cash book and entering on the spreadsheet

Any other delegated duties considered appropriate to the post.

They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential
  • Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

Desired qualifications

Applicants must hold GCSE maths and English at Grade C/4 or above (or equivalent).

Things to consider

Attendance at Darlington College will be required one day per week. 

Apprentices are paid for their normal working hours and training that's part of their apprenticeship (usually one day per week).
