The Administration Assistant will be responsible for the immediate day to day office duties, including but not limited to:

  • Answering the telephone ensuring each call is logged and messages are delivered promptly
  • Checking and answering emails
  • Receiving and distribution of external mail
  • Maintain accurate records of all children, bookings and if necessary waiting lists both manually and on our database
  • Record progress of enquiries and progress enquiries and keep database up to date
  • Support the increased take up of places on all sites
  • Produce and process invoices, termly and daily (ad hoc bookings)
  • Process and follow up all enquiries from parents
  • Posting all fees onto accounts accurately
  • Ensure all accounts are paid within terms and conditions / credit control
  • Photocopying and scanning as required
  • Keep Club registers up to date and informing Managers of changes efficiently
  • Archiving records in line with General Data Protection Regulations
  • Assisting in preparation of advertising materials
  • Assisting Club Managers with daily admin duties as and when required
  • Maintain a flow of information from schools
  • Communicating with parents with accurate information
  • Adding information to our website as required
  • Maintain stationery stocks for the Club and re-ordering as required
  • Perform any other duties required by the Manager
  • Booking sessions accurately and invoicing parents
  • Archiving records

  • Good numeracy, skills and adept in Microsoft Excel, word and data bases

  • GCSE's in maths and English Level 4 (C) or above

Future prospects

Successful candidate can progress onto a higher apprenticeship or full employment.

Things to consider

Training one day a week will be based at our Ponders End centre in Enfield (EN3).
