The job description entails a wide range of duties and responsibilities including the following, but not limited to:

  • Preparing correspondence and documents through typing, checking for errors before passing to fee earner. Proof reading, if requested to do so
  • Administer filing in correct dated order on a timely basis including daily filing, opening/closing/storage/retrieval of client files in accordance with office procedures
  • Maintain the files in accordance with requirements of the firm’s risk management procedures
  • Preparing mail with relevant enclosures for outgoing post
  • Managing and maintaining an up-to-date office diary including arranging appointments, meetings and book meeting rooms
  • Providing refreshment for clients, visitors and the fee earners where required or requested to do so
  • Attending with clients, visitors and all callers to the office (in person or by telephone) in a professional and friendly manner at all times
  • Answering telephone calls promptly, assisting if possible or otherwise taking a detailed message and ensuring that the same is passed promptly onto to relevant colleague(s)
  • Undertake any specific training when required to do so and overall to have a responsibility towards self-development
  • At all times, maintaining the confidentiality of office and client documentation and information
  • Copy, scan or otherwise duplicate of documentation as requested by fee earners
  • Prepare an inventory of all stationery on a regular basis and inform line manager to order stationery in good time prior to supplies being depleted
  • Comply with all anti-money laundering regulations as per office and legal requirements
  • Ensure that workspace, the reception area and office meeting rooms are left in a neat and tidy condition at all times
  • Generally assist colleagues in achieving a smooth operation of the firm’s business in a diligent, friendly and professional manner
