The successful applicant will be required to work as a key member of our team. You will be responsible for dealing with patients at the main Reception and over the telephone and for processing the office administrative tasks.   The work is varied and we are a busy City Practice, so the role demands that you are able to cope well when working under pressure, that you are able to work accurately and efficiently, and that you enjoy working as part of a Team. 

The role is challenging but very rewarding and this post will offer you a wide range of experience, whilst supported by an excellent friendly Team. 

Key Duties:

To provide general administrative support for the Practice, including the following:

  • Scanning incoming mail, circulating as appropriate and adding information to patient records.
  • Maintaining the filing and administrative systems.
  • Producing patient letters and processing referrals.
  • Responding appropriately to electronic tasks received from the clinical team with instructions related to patient care.
  • Dealing with digital communications such as emails, incoming health related queries, and repeat prescriptions.
  • Working as part of and supporting the rest of the administration team to ensure tasks are completed in a timely fashion.

To provide a courteous and efficient service to patients, carers and visitors both over the telephone and when attending the Practice ensuring:

  • Patients access the primary care services they require in a timely fashion.
  • Queries from patients at the front desk are dealt with courteously and efficiently.
  • Patients are contacted appropriately to arrange/rearrange appointments and/or confirm test results.
  • Visitors sign in and out and the member of staff they are seeing are advised of their arrival.
  • The tidiness of the waiting room and the safety of its inhabitants is maintained.
  • Queries are answered or passed to an appropriate member of staff in a timely fashion.

To provide general assistance and administration to the practice clinical and leadership teams, including.

  • Accurately updating patient records using System-One.
  • Undertaking any actions as required by doctors and the nursing team.
  • Supporting the provision of a seamless co-ordinated multidisciplinary service through good communication and team work.

And any other tasks/duties as requested by the Partners, Practice Manager or Office Manager.

This role demands absolute confidentiality and accuracy is essential.

About the employer

The doctors and staff at Woodcock Road Surgery are proud to offer the highest standard of patient-centred healthcare to its 8,300 patients.  We are currently a team of 23, with a wide range of skills.  We employ a Clinical Pharmacist, a Physician Associate, Practice Nurses, Health Care Assistant, Phlebotomist and Physiotherapist.

We cover an area of high deprivation and we provide services to many young families in the local area.  We provide a full range of services including for the management of chronic diseases such as asthma and diabetes and offer a wide range of medical services including minor surgery, childhood vaccinations, warfarin monitoring, phlebotomy, sexual health and contraception clinics, wound care, travel health and seasonal Flu clinics.

The Surgery is also a teaching and training practice and works closely with the UEA Medical School providing tuition to medical students and GP registrars.
