The general administration duties within this role may include:

  • Effective communication with colleagues, managers and directors.
  • Effective written communication
  • Liaising with the company’s external Health & Safety, Environment and Quality consultant.
  • Liaising with the company’s chosen training provider to book training.
  • Liaising with customers via phone, email and in person.
  • Liaise with suppliers and place orders using the company procedures.
  • Liaise with the company’s external HR manager when necessary
  • Learn how to provide advice to customers when necessary. 
  • Undertake relevant research.
  • Learn how to identify hazards and assess.
  • On occasions assist in back to work interviews for employees
  • Learn to take minutes during staff meetings and management meetings.
  • Learn and adhere to company policies
  • Assist in the implementation of the Integrated Management Systems (IMS).
  • Learn all aspects of IMS – forms, risks and opportunities register, etc.
  • Follow the company document procedures.
  • On occasions assist in appraisals for employees.
  • Attendance during external audits, including those of ISO, Achilles and customers.
  • Learn to conduct internal audits and document.
  • Learn to use accounting software.
  • Learn to process incoming and outgoing accounts and payments.
  • Learn to compile accounts and keep up to date ready for submitting to the accountant at the end of each VAT period or year end.
  • Chase overdue customer accounts.
  • Learn to submit staff wages and make payments.
  • Assist in planning and booking servicing from external companies such as PAT testing, vehicle servicing, vehicle MOT’s, etc.
  • Updating supplier and customer information following strict GDPR regulations.
  • Updating employee information when necessary following strict GDPR regulations.
  • Record and document personal hours in diaries.
  • Assist and work closely with other departments.
  • Assist in maintenance and cleanliness of company premises and property.
  • Assist colleagues with tidying up and closure of the premises each day.
  • Attend college when required.
  • Complete any work set by your training provider.
  • Attend any training the company sees necessary – in hour and external.
  • Any other tasks the company sees appropriate to assist with the smooth running of the business.
  • Good IT skills – use of Microsoft programmes, word, excel, power point and emails.
  • Excellent time keeping.
  • Ability to motivate others.
  • Use of own initiative.
