Duties to include:

  • Create a quotation reference individual to the client and site. (Recording as much information as possible. i.e. Quote contact, date of site visit, Scope of works, date quotation is required by)
  • Set up a folder on the computer under the client’s name with quote reference and save any documents here to enable to Contracts Manager to have all the information at hand to provide a quotation
  • The quotation needs to be recorded and sent to the client via an e mail using the unique reference number for traceability. (Remember the golden thread)
  • The Contracts manager will follow up once the quotation has been sent
  • When the Quotation is accepted and the Job won. A job number is created which should be used on all correspondence in relation to the works this enables accurate costing when the job is completed
  • Once the start date has been arranged with the client a job pack needs put together. This should contain all the paperwork required by site for the duration of the job
  • The Contracts Manager will provide a list of Consumables, equipment, welfare, skip etc that will need to be arranged for the start of the job and collected when the job is completed
  • The analyst needs to be booked
  • The pack for site will need to include a waste note with all the relevant details completed
  • Once the job on site, chase any late deliveries, shortages, order any extra items required
  • When the job is completed create the invoice and send to the client with a copy any waste notes and air tests relating to the job
  • The air tests and staff exposures must be recorded
  • Completed job packs should be reviewed and information passed back to the Contracts Manager who fill comment up to and action as necessary
  • The hours on site need to be calculated
  • The jobs get costed prior to closing down and filing
