Reporting to the Manager, duties will include:

  • Collect DX and check the Post Box
  • As and when the post arrives sort and distribute as with the DX
  • Empty pigeon holes and distribute documents and letters to staff
  • Check photocopiers have paper and check paper stores have paper
  • Tidy all the meeting rooms, make sure there are sufficient pads and pens in each, and check windows and heating as well as the lights
  • Ensure rooms and public areas are cleaned and disinfected after and before use in line with our COVID-19 policy
  • Check whether any files or Deeds have been requested from the Basement and if necessary go down to the Basement and collect
  • Go to the Bank and do the daily banking, take cheques to be signed to a Partner and empty the out tray in Cashiers and do any tasks necessary for Cashiering
  • Do the necessary shredding of confidential docs in Accounts
  • Order stationery and stocks of cleaning products when necessary
  • Empty the Recycling bin in the First-Floor kitchen. Ensure recycling is emptied into the recycling bin outside
  • Check we have spare ink cartridges for the Franking Machine and printers
  • Help with general housekeeping
  • Some dictation
  • Copying and scanning documents
  • Taking ID from clients and updating the ID system
  • Taking payments from clients in person and over the phone
  • Opening and closing files and archiving documents, files, Wills and Deeds
  • Covering reception for sickness and annual leave and lunch breaks and using the telephone system
  • Updating client data on the system when necessary and ensuring the database is accurate in line with GDPR
  • Dealing with confidential waste as and when necessary
  • Delivering documents to Court and other Solicitors firms around the city centre when necessary
