This post is one of continual development. As this is an apprentice post the post holder may be required to work in various locations throughout the organisation to develop skills knowledge and experience in all aspects of administration both through on the job training and formal training sessions to establish knowledge and understanding.

The job description is a guide to the principal duties and responsibilities of the post.

To provide an efficient and effective clerical and administrative support service to a designated team in accordance with Trust policies and procedures.

To develop skills, knowledge and experience in all relevant aspects of administration to enable career progression to an administrative role. This will be through on the job training, regular meetings with their supervisor and assessor and attending college/training sessions leading to an Apprenticeship Certificate and a QCF Level 2 in Business Administration or equivalent.

This is a generic Job Description for all apprenticeship roles and is intended as a summary. Therefore as roles vary some of them may not require all the tasks listed.


  • Data input, data extraction, photocopying, faxing, filing and typing duties as directed
  • To deal with internal and external post and emails on a day-to-day basis
  • To support the team to maintain accurate, timely and legible records
  • To answer/deal with queries, both face to face and via the telephone, take messages and pass them on to the relevant member of staff in a courteous, appropriate and timely manner
  • To obtain and retrieve clinical and non-clinical records as requested
  • To maintain filing systems in line with Trust Policies and Procedures
  • Attend and take part in team meetings and regular reviews with line manager etc

Receive training and work towards and complete to a high standard the following qualifications:

  • Administration QCF Level 2 or equivalent
  • Technical Certificate in Administration Level 2
  • Functional skills – English, Maths and ICT
  • The post holder will be flexible to cover for annual leave, sickness etc of other administration staff in the team.


  • To participate in appraisals and personal reviews and work to achieve agreed set objectives.
  • To participate in mandatory and appropriate training and development activities.
  • To undertake any duties as required in accordance with the grade and nature of the post.
  • To participate in team, professional and personal development activities and promote commitment to continuous development and improvement.
  • To be a flexible and supportive member of the team.
  • To ensure that all staff consciously review mistakes, complaints and incidents/near misses as well as successes to improve performance and the level of customer care.
  • To ensure that all Trust standards are maintained and monitored to improve the quality of care to all who come into contact with the services provided by South Warwickshire General hospitals NHS Trust.
