Global HSE is looking to recruit a well organised, resourceful, multi-tasking Assistant Administrator to be part of our team, based in our Cropwell Bishop (Nottingham) busy office. The successful candidate will assist the technical teams and provide general administrative support and manage day to day facilities aspects.

The successful candidate will have the ambition to be part of a fast growing team and the ability to undertake daily administration duties in order to support the smooth running of the office.

Responsibilities will include, but not limited to:

Reception Management:

  • Ensuring calls are answered and internally distributed in a professional and timely manner
  • Take responsibility for all post-room activities both inbound and outbound
  • Ensuring post log is completed at all times and staff scheduling on MS Outlook is updated

Office Management:

  • Provide support to contractors working on site by booking accommodation in line with the business arrangements
  • Record minutes from staff and client meetings
  • Assist with office processes (quote tracker/PO log/Audit tracker/scheduling tracker/telephone lists)
  • Maintain office systems including data management and filling
  • Support the FRA and consultancy team with handling client accounts - eg. Proof reading, receiving reports and scheduling is kept on track/plan, appointments and calendar
  • Support the Passive Fire Team, type up surveys and reports
  • Support the Contracts Team with typing, creation and updating of databases, liaising with clients and customers over the phone, booking in teams etc

Intermediate Apprenticeship in Business Administration Level 2 - 12 months:

  • Level 2 Diploma in Business Administration
  • Functional Skills English, Maths and ICT Level 1 if required
  • This apprenticeship is 1 day per week at the college term time only 9am - 5pm with the other days based at the work place

The current National Minimum Wage (NMW) rate for apprentices is £3.50 per hour. This applies to 16-18 year old apprentices and those aged over 18 in the first year of their Apprenticeship. For all other apprentices the National Minimum wage appropriate to their age applies. The Minimum Wage for Apprentices applies to time spent on the job plus time spent training * Please note that anyone under the age of 18 will only work a maximum of 40 hours per week. Any role which exceeds these hours on advert will be amended accordingly to fall in line with the legislation * * Please note if the successful applicant is found prior to the closing date the vacancy maybe withdrawn early* This apprenticeship is work based learning therefore most of the time you will be working at the employers address. Depending on your training you will only need to attend college in Nottingham for initial assessments, enrolment and a few other rare occasions
