  • Dealing with telephone/email/face-to-face enquires and service bookings, taking messages or redirecting enquiries if appropriate.
  • Making decisions within own work area about the order work is carried out and be responsible for prioritising tasks/meeting deadlines; also deciding when to refer matters to a more senior colleague.
  • Maintaining records of sickness and annual leave.
  • Recording and distributing incoming post and generic in-boxes.
  • Maintaining adequate stocks of stationery and appropriate resources.
  • Assisting with the filing and storage of electronic and paper files in line with office procedures and corporate processes.
  • Inputting data to ensure agreed systems are up-to-date.
  • Supporting the on-going Service performance monitoring process, including the collection and collation of appropriate data for the Heritage Lottery Fund and national surveys.
  • Assisting with processing invoices, orders and expenses.
  • Helping prepare marketing material including social media content, draft press releases, e-newsletters and posters.
  • Distributing mailshots and marketing material as required including programming social media posts and managing e-newsletter subscriptions.
  • Helping to organise events within an agreed framework and dealing with enquiries and bookings for these.
  • Assisting with other duties appropriate to the Support Officer role as necessary

  • Ability to organise own allocated workload with line management support to deliver targets and deadlines

Personal qualities

  • Ability to communicate with others in a range of media e.g. telephone, face to face and email in order to give and receive information accurately
  • Eligible for funding to undertake an apprenticeship framework or standard (eligibility is based on qualification/skills already attained)

Qualifications required

  • Willing to undertake a programme of work, study and training designed to develop the skills and abilities of the apprentice to achieve a level 2 qualification in Business Administration
  • Maths and English GCSE grades C and above or equivalent is desirable but not essential.
  • An awareness of general office IT applications including Microsoft Office

Things to consider

The current National Minimum Wage for an apprentice is £3.50 an hour. This rate applies to apprentices under 19 and those aged 19 or over who are in their first year. Apprentices must be paid at least the minimum wage rate for their age if they are aged 19 or over and have completed their first year. The minimum wage rates are £5.60 an hour for 18-20 year olds, £7.05 an hour for anyone aged 21-24, and £7.50 an hour for anyone aged 25 and over. Apprentices are paid for their normal working hours and training that’s part of their apprenticeship (usually one day per week).
