What you will do in your working day

Duties could include but not exclusive to;

  • Responsible for the checking and approved of sales orders on a daily basis
  • Responsible for tracking outstanding invoicing on a daily basis
  • Responsible for tracking and investigating missing POD's and liaising with Transport daily
  • Responsible for raising and receiving overhead purchase orders.
  • Responsible for all goods received either via Inter Branch Transfer or from an external Supplier to be GRN'd within 2 hours
  • Stock Certified/non-Certified labels to be produced when pre -booking so ready for receipt of goods
  • Bar coding, pack splitting to be done on receipt
  • Responsible for the processing of any credits and all necessary returns to supplier / branches to be completed with 24 hours of receipt
  • Responsible for answering the main switchboard telephone & Reception phone, meeting and greeting customers & visitors to the site
  • Supporting the Sales Team members in all Administrative matters
  • Raising purchase order for Stationary and PPE, as required
  • To competently and confidently perform all Admin duties, taking particular care when checking booked out orders, when processing credits and receiving goods into the depot
  • To be aware of the stock implications of incorrectly processing credits & GRN'ing goods and to have the ability to correct any errors that may arise
  • GRN / stock queries from HQ to be checked daily and resolved within 7 days
  • Customer invoice queries from Credit Control (received either via e-mail or logged on the shared spreadsheet) should be resolved within 7 days. (As per the Service Level Agreement with Accounts Payable & Credit Control)
  • Responsible for reporting any relevant environmental issues to the Operations Manager and consider the environmental impact of actions we take
  • Ensure Works and Environmental Instructions are being adhered to, at all times
  • Segregate waste streams where possible
  • Ensure site works within CoC (FSC, PEFC, MTCC, etc)
  • Ensure site complies with legal obligations (WEE, Hazardous Waste Disposal, Lighting, Oils, etc)
  • EA Permits

The training you will be getting

This Level 3 Business Administration Advanced Apprenticeship usually lasts 18 months and your daily activities will include producing documents and presentations, managing resources, administration systems, office equipment and facilities.

This course will allow you to build a foundation of skills which are needed to be successful. You will work through a variety of modules to gain the experience and skills needed to succeed as a business administrator, which include:

  • Managing your own personal and professional development
  • Contributing to the improvement of business improvement
  • Delivering presentations
  • Creating bespoke business documents

On successful completion of the apprenticeship, you will achieve the following qualifications:

  • Level 3 Diploma in Business Administration
  • Functional Skills maths Level 2
