What you will do in your working day

As an apprentice during your training you will;

  • Undertake a range of financial procedures, including (but not restricted to) placing orders, raising invoices, processing invoices, preparation of cheques and BACS payments, banking cash and cheques, monitoring parental online payments, chasing debts, issuing receipts, ensuring best value is obtained and dealing with supplier issues.

·       Liaising with parents in respect of monies owed for trips/events, clubs and lunches.

·       Produce a range of financial data and reports as required.

·       Responsible for being the first point of contact for the Head teacher, welcoming visitors and parents to the school and answering telephone calls, post etc if required

·       Liaise between school leadership team, teaching staff and support staff.

·       Produce and respond to requests for detailed reports, information and correspondence as required

·       Operate SIMS, SAM, Tucasi, Fastrak and any other systems the Academy uses for admin tasks.

·       Responsible for ensuring all database systems used within school are kept up to date and current to ensure contact can be made when necessary with all members of staff and pupils.

·       Ensure the staff files both electronic and paper are kept up to date and accurate, ensuring confidentiality at all times.  

·       Responsible for ensuring all necessary admin tasks are covered and carried out to ensure the smooth running of the Academy and all processes and procedures are followed.

·       To undertake the production of letters, report, charts, lists and worksheets and other documents and materials required in school.

·       To carry out and maintain filing and develop and maintain spreadsheets or databases containing financial and non-financial information, and to liaise with other administrators

·       To undertake routine clerical tasks and reprographics requirements in order to support the administrative processes carried out in the Academy.

·       To participate in telephone and reception service in accordance with school security procedures regarding access and entry to the premises, dealing with personal and telephone callers in a courteous and efficient manner.

·       Liaise with members of the public, suppliers, schools and other external stakeholders.

·       Ensure that all administrative duties, checks, documentation, reports and returns (internal and external).

·       To respect the confidential nature of the work and protect personal information in accordance with data protection regulations and policies in place.

·       To develop an understanding of varying policies and procedures within the school, complying with their contents and raising concerns as appropriate.
