What you will do in your working day

The role will be varied and will require a complex range of administration tasks to be fulfilled, whilst developing and utilising administration skills through practical application and support.

Your duties will include:

  • Answer all incoming calls and handle caller’s enquiries whenever possible
  • Re-direct calls as appropriate and take adequate messages when required
  • Receive, direct and relay telephone messages
    Retrieve messages from voice mail and forward to appropriate personnel
  • Answer questions about the Company and provide callers with address, directions, and other information
  • Greet, assist and/or direct visitors, contractors, suppliers and colleagues
  • Monitor visitor access and issue passes
  • Sort, frank, and manage outgoing post and distribute posts to the correct personnel
  • Keep the reception and kitchen area clean and tidy
  • Manage and assist staff with corporate travel bookings
  • Assist the Human Resources Team with administrative services
  • Provide administrative support to the Plant Manager as well as managing the Plant Managers diary/schedule
  • Being the main point of contact and managing hospitality for customer and colleague visits
  • Manage the conference room diary bookings as well as ordering refreshments as and when required
  • Keep on top of the office stationary and provide a weekly list to the purchasing department of stationary that needs to be ordered
  • Be the main contact point for office equipment breakdown/maintenance and organise any visits on site that may be needed

The training you will be getting

  • For this Apprenticeship Standard, learners will have the opportunity to give focus on the knowledge, skills and behaviours of the standard that will allow for good business acumen, decision making and the understanding of tools and techniques in relation to time and project management
  • The completion of this Apprenticeship Standard will require monthly training visits from a qualified IPS Trainer to help support the Apprentice
  • This will allow them to develop skills and progress the building of the Apprentice portfolio to prepare the learner for End Point Assessment
  • Delivery is primarily carried out through remote visits, but the trainer will visit the learner’s workplace quarterly and at the start of training to allow for a good working relationship between all parties for smooth delivery of the Standard
  • Upon successful completion, the learner will achieve the Level 3 Business Administrator Standard qualification

What to expect at the end of your apprenticeship

  • Upon successful completion of the apprenticeship, you will be fully qualified and working towards an Executive Assistant/Administrator role
