Summary

As an Assistant Events Apprentice, you will assist and support the Visitor Services and Events team in delivering weddings and events across Visitor Services sites and Parks. This is a great opportunity to learn about event planning and operations while gaining hands-on experience.

Wage

£14,526.20 for your first year, then could increase depending on your age

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

  • Assist with the wedding operations at Sandwell Valley Visitor Centre and Lightwoods House, supporting the team from initial meetings through to the wedding day.
  • Support the Events team in delivering events, learning how bookings, administration, and event setup are managed.
  • Help with administrative tasks to support smooth event delivery.
  • Take part in planning and preparing events under guidance.
  • Assist with setting up and clearing away event and wedding spaces, including arranging furniture, decorations, and equipment.
  • Support the team in welcoming and guiding visitors and guests during events and weddings.
  • Help monitor supplies and equipment needed for events, reporting any shortages or issues to the team.
  • Assist in promoting upcoming events and weddings through social media or printed materials under supervision.
  • Support the team in gathering feedback from guests after events to help improve future activities.
  • Help maintain accurate records and databases related to bookings and event details.
  • Shadow experienced team members to learn best practices in customer service and event coordination.
  • Participate in team meetings and training sessions to develop skills and knowledge related to weddings and events.
  • Contribute to creating an inclusive and welcoming environment by supporting Equality, Diversity, and Inclusion (EDI) values.
  • Carry out other duties as needed to support the team and service goals.
  • Follow Health and Safety policies to help maintain a safe working environment.

What you'll learn

Course contents
  • Operational: Gather facts and collate information in response to a brief or request, like searching for the right location and venue for an event.
  • Operational: Respond to requests from the different functional teams and carry out a variety of daily and weekly tasks to assist in the planning and preparation of an event.
  • Operational: Provide assistance onsite at an event by registering delegates or by helping to assist the onsite team with a variety of tasks.
  • Operational: Manage your time effectively by understanding how to prioritise tasks according to their importance and urgency for the stakeholders of an event.
  • Operational: Use software packages to create word processing and spreadsheet documents.
  • Operational: Contribute to reports, event project plans and written presentations for clients
  • Operational: Use a range of event technology platforms and in-house bespoke software systems and databases.
  • Operational: Show careful attention to regulations and internal policies.
  • Professional: Listen, interpret, understand, vocalise and respond to clients’ needs.
  • Professional: Speak and write clearly in order to prepare written communications or provide instructions that are needed for a client, supplier or team member.

  • Professional: Have the skills to maintain relationships with colleagues, suppliers or clients once they are built, and be able to repair them when they are damaged.
  • Professional: Work effectively within a group environment to prepare for, deliver and/or follow up after an event takes place.
  • Commercial: Assist in the preparation, management and reconciliation of event budgets by collecting information, checking data and making calculations.
  • Commercial: Show how commercial awareness has been applied through task and time management, specifically using efficient and effective measures to conclude a project in the most proficient way.

Training schedule

At the end you will gain a Level 3 Event Assistant Qualification.  The apprenticeship training will be delivered in the workplace, as you will receive visits from a college assessor. The apprenticeship will also include a proportion of 20% Off the Job Training and a robust programme of Mandatory Apprentice Training provided by Sandwell Council to include Fire Awareness, Prevent, Safeguarding, Data Protection & Cyber Security and Equality & Diversity.

Essential qualifications

GCSE in:

  • English (grade A-C / 9-4)
  • Maths (grade A-C / 9-4)

Other in:

  • English (grade Level 2)
  • Maths (grade Level 2)

Other requirements

You may be required to work at various locations across the borough to support event delivery. Therefore, you must be able to travel at the start and end of the working day, and occasionally during the day, to ensure effective service delivery.

After this apprenticeship

This apprenticeship is a fixed term 18-month contract and at the end you will gain a Level 3 Event Assistant Qualification. However, the skills, knowledge and experience gained in this apprenticeship will allow you to gain future opportunities in the sector.
